Summary
The Procurement Services Senior Specialist supports the end-to-end procure-to-pay (P2P) process and enables scalable, compliant purchasing across Guidewire. This role owns day-to-day operational execution in Zip and Coupa, maintains process documentation and playbooks, supports vendor onboarding and payment programs, and drives data quality and reporting that informs Procurement leadership scorecards. The Procurement and Strategic Sourcing function, reporting into the Business Technology organization, is seeking to expand their team as we scale to $2B+ company efficiently while maintaining leading service levels. Stakeholders include business requestors, function peers and suppliers.Location: We’re excited to expand in Guadalajara with a work model that combines remote flexibility and intentional in-person connection. As the local team grows, we plan to establish a shared workspace—such as a WeWork or Regus-style facility—in a central location to support collaboration, community, and productivity.
In the meantime, team members will work remotely and gather periodically for social events, volunteer opportunities, team-building, and professional development. Candidates should have reliable access to transportation—public or personal—to central and/or Midtown Guadalajara, as occasional in-person meetups will be expected. Once the shared workspace is in place, in-office presence may range from 1 to 3 days per week, depending on team and business needs.
Job Description
What you’ll doSupport the high-volume purchasing process, including supplier onboarding, signature routing, issuing purchase orders and virtual cards,coordinating NDAs, and processing change requests.
Deliver excellent stakeholder service through clear, timely communication and consistent follow-through.
Assist Accounts Payable by researching and resolving invoice questions and processing updates.
Work with Sourcing Managers and business stakeholders to orchestrate end-to-end processes with high levels of accuracy, customer satisfaction and speed.
Partner with a global procurement services team to enable local needs while balancing enterprise volumes. This includes occasional after hours hand-offs or meetings for knowledge sharing and team meetings.
Administer and maintain our contract repository, ensuring accuracy, completeness, and overall data integrity.
Keep our PO Intake Orchestration data current and validate monthly via spot checks it is in sync with other key systems (Zip/Zylo/Coupa).
Contribute to ad hoc procurement projects and initiatives, partnering with team members and cross-functional stakeholders as needed. Including, but not limited to data collection, reporting, and preparing communications (presentations, newsletters, team updates, job aids, etc).
Participate in procurement system testing activities and maintain clear, accurate documentation.
Maintain team playbooks and documentation, updating materials to reflect current processes and best practices.
Identify and scope opportunities for AI-enabled automation, with a focus on reducing manual data entry and improving internal cycle and response times.
Assist with enhancing dashboards and reports and providing stakeholders with insights per their buying patterns and processing trends
What you'll bring3-7 years of procurement experience recommended.
Bachelor’s degree and relevant field experience.
Brings strong spreadsheet skills and basic formulas.
Familiar with Coupa, Procurement systems, Google Workspace, DocuSign, CLM, and AI tools (ex. Chat GPT).
