**Responsibilities:**
Performs complex secretarial and administrative duties, in a fast-paced environment with minimum direction and latitude for independent judgment and initiative, performs routine and non-routine duties requiring highly advanced secretarial skills. Receives general direction from the office manager in coordination with Endocrinology providers.
**ESSENTIAL FUNCTIONS**
+ Serves as primary contact for providers, manages calendar when applicable, manages providers clinic schedule based on provider templates and preferences. Tasks include: researching patient medical records for pertinent information, completing incoming forms for signature by provider, ensuring that scheduling is done efficiently in a timely & correct manner.
+ Reviews electronic chart work queues, in baskets and pools for continual management and triaging. Reviews and manages order and order information queues. Obtains outside medical records and imaging for future appointment. Uploads outside images to PACS for provider review.
+ Responds to provider tasks in a timely manner. Effectively communicates with supervisor, coworkers, referring offices, pharmacies, and other local agencies. Maintains and updates as needed the mailing lists, spreadsheets, and contact addresses. Prepares electronic patient charts for daily clinics of assigned physicians.
+ Answers and screens telephone calls; answers questions and/or channels them as appropriate. Efficiently triages and tasks patient messages, defines and communicates patient expectations and needs to appropriate personnel, and recognizes level of response needs to meet patient need and satisfaction.
+ Performs routine secretarial duties as needed, including word processing, sorting and routing mail, transportation, backup to assess office supplies for ordering, copying, and faxing. Occasionally composes, types, and signs non-routine correspondence. Assembles data for reports and other documents, drafts important confidential correspondence. Provides backup coverage for General Endocrinology office.
+ Coordinates with team for appropriate allocation of work assignments of clinical office; reassigns tasks as appropriate to meet schedules and deadlines. Trains new hires in respect to specific office protocols.
+ Other duties as assigned.
**MINIMUM EDUCATION & EXPERIENCE (Required)**
+ High School degree
+ 2 years of relevant experience
+ Or equivalent combination of education and experience
**KNOWLEDGE, SKILLS AND ABILITIES**
+ Demonstrated customer relations skills required
+ Medical Terminology, experiences with surgical/appointment scheduling software (such as Epic), and electronic medical records preferred
