We are seeking a highly organised and proactive Personal Assistant to support the Head of Occupier Services on a 12-month fixed-term contract. Based in our London office, this is a key role within the department, ensuring high-level executive support and efficient coordination of operational tasks. You will play a pivotal part in managing communications, complex scheduling, stakeholder interactions, and supporting strategic initiatives across the Occupier Services team. This is an ideal opportunity for an experienced PA with exceptional communication and multitasking skills looking to join a dynamic and fast-paced team environment.

Key Responsibilities:

Extensive diary management, including scheduling and prioritising meetings, presentations, and internal/external engagements.

Act as the first point of contact for the Head of Occupier Services, managing inboxes, screening calls, and ensuring prompt follow-up.

Prepare and format presentations, reports, and correspondence, ensuring accuracy and alignment with brand guidelines.

Coordinate travel arrangements including international itineraries, accommodation, and visa processes.

Organise departmental meetings, events, and team offsites, including agenda preparation, minutes, logistics, and budget oversight.

Assist with internal communications, drafting correspondence and liaising with the wider business.

Support invoice processing, expenses, and procurement tasks using internal systems (e.g., Workday).

Collaborate with other PAs across the business to ensure smooth delivery of wider administrative functions.

Ensure discretion and confidentiality in all matters relating to the Head of Occupier Services and the team.

Skills & Experience:

Proven experience as a Personal Assistant or Executive Assistant in a fast-paced, corporate environment.

Strong organisational and time management skills with the ability to multitask effectively.

Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel), Teams, OneNote and OneDrive.

Confident communicator, both written and verbal, with excellent interpersonal skills.

Comfortable working with confidential information and sensitive documents.

Ability to remain calm under pressure and adapt to changing priorities.

Experience preparing high-quality business presentations and managing logistics for senior-level meetings.

Previous exposure to real estate, professional services, or a similar corporate environment is advantageous.
