Payroll Specialist
Job Description
The primary role of the Payroll Specialist is to administer payroll functions within the company, ensuring accurate processing and maintenance of both office and field payroll.
Responsibilities
+ Review and process time entries for field and bi-weekly employees using the company's HRMS.
+ Communicate with employees to correct timesheet discrepancies.
+ Upload time files to Sage300 (Timberline) and make necessary pay changes.
+ Review Sage300 (Timberline) edit reports for accuracy and submit payroll reports for approval.
+ Ensure payroll changes are accurate by reviewing payroll reports.
+ Utilize checklists during payroll processing activities.
+ Upload payroll files to the bank for direct deposit.
+ Print and distribute/mail payroll checks and direct deposit forms.
+ Make timely federal and state tax deposits and record all tax payments in Sage300 (Timberline) Accounts Payable.
+ Perform certified payroll and benefit reconciliation.
+ Scan and file timesheets, check stubs, and payroll reports in appropriate folders.
+ Pay weekly garnishments and record in Sage300 (Timberline) Accounts Payable.
+ Print certified payroll reports from Sage300 (Timberline) and create Excel upload files.
+ Utilize online reporting agents for certified payroll reporting.
+ Reconcile and pay benefits vendors and union dues.
+ Prepare monthly, quarterly, and year-end payroll tax returns.
+ Import employee information from Workforce Go into Sage300 (Timberline).
+ Complete new employee setups and terminations in Sage300 (Timberline).
+ Review and enter employee benefit changes in Sage300 (Timberline).
+ Upload pay stubs to Workforce Go and run PTO accruals.
+ Maintain certified pay rates and job local tables in Sage300 (Timberline).
+ Attend training programs as needed and assume other responsibilities as directed.
+ Conduct employment verifications and gather information for various stakeholders.
Essential Skills
+ 4-5 years of full-cycle payroll experience, including certified payroll and job cost processing.
+ Proficiency in payroll processing, Workforce Go, Excel, and Sage300.
+ Experience in the GC/Subcontractor construction industry.
+ Familiarity with HRMS systems such as ADP, Workday, Paycom, and Sage 300.
+ Experience in paying union employees.
+ U.S. Citizenship is required.
Additional Skills & Qualifications
+ Preferred experience with Sage300 (Timberline) and paying union employees.
+ Thorough knowledge of generally accepted accounting principles.
+ Good understanding of accounting systems.
+ Excellent written and verbal communication skills.
Work Environment
You will work closely with the Accounting Management Team and receive training from experienced personnel. The position is 100% onsite from Monday to Friday during the first shift, with the potential for one WFH day per week after the probation period. Opportunities for growth include running payroll for approximately 300 employees. The pay range for this position is $65000.00 - $75000.00/yr.
