Job Description
We are seeking a dedicated Payroll Specialist to process weekly and bi-weekly union payroll for 25–30 employees, ensuring compliance with collective bargaining agreements. The role involves maintaining accurate payroll records, including timekeeping, deductions, benefits, and tax withholdings, as well as preparing and submitting union reports and remittances. You will collaborate with HR and management to resolve payroll discrepancies and employee inquiries, assist with accounts payable and receivable tasks, and support general office administrative duties. Compliance with federal, state, and local payroll regulations is essential, as is maintaining confidentiality of employee and company information.
ResponsibilitiesProcess weekly/bi-weekly union payroll for 25–30 employees.Ensure compliance with collective bargaining agreements.Maintain accurate payroll records, including timekeeping, deductions, benefits, and tax withholdings.Prepare and submit union reports and remittances.Collaborate with HR and management to resolve payroll discrepancies and employee inquiries.Assist with accounts payable and accounts receivable tasks, including invoice processing, payment posting, and account reconciliation.Support general office administrative duties such as filing, data entry, and document preparation.Ensure compliance with federal, state, and local payroll regulations.Maintain confidentiality of employee and company information.Essential SkillsMinimum 2 years of experience processing union payroll.Solid understanding of payroll systems, labor laws, and union reporting requirements.Prior experience in accounting functions, including accounts payable and receivable.Proficiency in payroll and accounting software (e.g., QuickBooks, ADP, or similar).Strong attention to detail and organizational skills.Ability to work independently and manage multiple priorities.Excellent communication and interpersonal skills.Additional Skills & QualificationsExperience in a construction, manufacturing, or trade union environment.Familiarity with certified payroll reporting and prevailing wage requirements.Work Environment
The work environment is a small office setting with no more than four other individuals, including the owners. This family-owned company offers an opportunity for growth, potentially leading to a future role overseeing the accounting team.
Pay and Benefits
The pay range for this position is $18.00 - $22.00/hr.
