We are seeking a dedicated Payroll Specialist to manage and process payroll operations efficiently. This role involves coordinating with the HR Department, utilizing Paycom and Kronos systems, and ensuring compliance with state payroll laws. The ideal candidate will be detail-oriented, possess strong organizational skills, and have a solid understanding of payroll processes and regulations.
ResponsibilitiesProcess weekly and/or biweekly payroll runs in collaboration with the HR Department, Supervisors, and Paycom.Handle payroll for both salary and hourly employees, up to 200+ individuals.Utilize Kronos for timecard system reporting, identify discrepancies, and communicate with employees or managers.Interpret, process, and update new and existing employee payroll records, including pay rates and leaves.Input pay program updates and deductions per state laws and HR Department directives.Monitor and ensure timely setup of new state classifications as employees relocate.Prepare reports for Union Dues payments, 401K reporting, and labor distribution.Sort and distribute paychecks, and prepare check requests for payroll-related payments.Process special checks and make necessary adjustments outside of regular runs.Prepare reports for journal entries and monthly accruals related to payroll accounts.Maintain and reconcile payroll-related general ledger accounts monthly.Report wage and tax information to Corporate for individual payrolls.Prepare routine reports and payments for government agencies and insurance companies.Review time sheets, deductions, wages, and address discrepancies.Understand and apply wage and hour laws to payroll, answering related queries.Review and suggest improvements to payroll processes, policies, and procedures.Contribute to audit preparation and closing processes related to payroll accounts.
Essential SkillsMinimum of 2-4 years of payroll processing experience.Experience with payroll software such as Paycom, ADP, or similar platforms.Proficient with Paycom and Kronos timekeeping systems.Ability to reconcile payroll-related accounts and prepare detailed payroll reports.PC/Microsoft Office proficiency, including basic Excel skills for timecard data manipulation.Strong knowledge of federal and local payroll laws and regulations.
Additional Skills & QualificationsDemonstrated success in operating effectively in a fast-paced, high-volume environment.Experience in union vs. non-union payroll processing is a plus but not required.Ability to create reports as needed.
Work Environment
The office is a welcoming environment, with a payroll team of two people, positioned next to the accounting department for cross-functional collaboration. The dress code is business casual, and working hours are flexible, typically from 8am to 5pm with a 30-minute lunch break. Communication primarily occurs with managers across various departments.

Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
