Part time Executive Secretary
**Part time Temporary Administrative Assistant** **to support front-line operations during a staffing transition. This role provides essential on-site administrative, scheduling, and event support to ensure the smooth day-to-day functioning of the Dean’s Office. The successful candidate will demonstrate excellent communication skills, strong organizational abilities, and the discretion required to handle sensitive and confidential information.** **Key Responsibilities** **Administrative & Scheduling Support** + Coordinate meetings, appointments, and logistics for divisional leadership. + Prepare agendas, meeting materials, and follow-up documentation. + Track action items, project timelines, and routine office workflows. + Draft, edit, and format correspondence, documents, and forms as directed. **Front Desk Operations & Visitor Support** + Serve as the primary in-person point of contact for faculty, staff, students, and external visitors. + Answer phones, greet visitors, and respond to general inquiries in a professional manner. + Manage office supplies, mail distribution, and shared workspaces. + Maintain a professional appearance and functionality of the Dean’s Office suite. **Event & Meeting Logistics** + Provide day-of support for divisional meetings and small events. + Coordinate room reservations, technology needs, materials, and event setup/cleanup. + Assist with communications related to meetings and events. **Operational Support** + Assist with facilities requests, key and card access, and office security processes. + Provide light project support, including task tracking, document updates, and communications assistance. + Collaborate with the Student Assistant and divisional staff to ensure smooth office operations. **Required Qualifications** + Strong organizational and time-management skills with the ability to manage multiple tasks and deadlines. + Excellent written and verbal communication skills. + Demonstrated reliability, punctuality, and attention to detail. + Customer-service orientation and ability to work effectively with diverse campus constituencies. + Proficiency with Google Workspace applications (Gmail, Calendar, Drive, Docs, Sheets). + Ability to maintain confidentiality and exercise discretion when handling sensitive information. **Preferred Qualifications** + Experience in a higher education or comparable professional office environment. + Familiarity with UCSC systems, terminology, or administrative processes. + Experience supporting meetings or events. + Ability to work independently and exercise sound judgment. **Work Environment** + On-site position with frequent interaction with faculty, staff, and students. + Requires extended periods of work at a computer and at the front desk. + Occasional lifting of office materials or event supplies (up to approximately 20 pounds). **Pay Range: $33 an hour** **Part time: 9am to 5pm Tuesday's & Thursday's** If this is a role that interests you and you’d like to learn more, click apply now and a recruiter will be in touch with you to discuss this great opportunity.
