About the Role
Reporting directly to the Investment Sales Business Unit Leader, this Melbourne-based role is pivotal in supporting the the senior team members in delivering exceptional service to local and global clients. You’ll be the operational backbone of the team, ensuring seamless coordination, communication, and execution across all facets of the business.
This role is highly visible and requires a proactive, detail-oriented professional who thrives in a fast-paced environment. You will manage key business processes, coordinate reporting and communications, and ensure the smooth operation of the team by liaising with internal stakeholders and external clients.

Job Description

What You’ll Be Doing

Manage executive-level administration including emails, calendar, travel bookings etc

Prepare reports, presentations, and marketing collateral for property campaigns

Liaise with internal departments (IT, HR, Legal, Marketing) and external vendors to ensure smooth business operations.

Manage POs, invoices, expense management and support financial forecasting/reporting.

Ensure CPD tracking, and compliance documentation (contracts, NDAs, agency agreements).

Identify opportunities to improve processes and introduce efficiencies.

About You

The ideal candidate will have 3-5 years’ experience in a similar role, preferably within commercial real estate or a corporate services environment. You will bring:

Exceptional organizational skills and the ability to juggle multiple priorities under tight deadlines.

Strong written and verbal communication skills, with confidence to engage with senior stakeholders.

A proactive, self-starting approach with the ability to work independently.

High attention to detail and accuracy.

Advanced Microsoft Office skills (Word, Excel, PowerPoint); InDesign experience desirable.

Financial acumen and experience managing budgets, reporting, and operational processes.

Resilience, adaptability, and a solution-focused mindset.
