Operations Coordinator

Work Dynamics – Life Sciences Account

MAIN TASKS
· Monitor KPIs at regional and country levels
· Track Planned Preventative Maintenance delivery and compliance
· Oversee Annual Audits & Inspections with timely corrective action closure
· Monitor reactive service requests across all priorities
· Track energy and sustainability plan implementation
· Ensure comprehensive data population for assets and contracts
· Manage data accuracy for work orders and preventive maintenance
· Coordinate maintenance planning and execution per contract requirements
· Maintain system integrity for accurate reporting
· Oversee contract-based maintenance schedule integration
· Monitor consolidated compliance programs (FM Global, MSS, FCA, BSP, Legionella)
· Conduct quarterly risk reviews and address deficiencies, Generate forecasts and budget planning
· Ensure high-priority compliance standards for key clients
· Monitor contractual compliance and corrective action status
· Ensure MSA requirement delivery, Manage service request workflows and escalations

· Assist with Change Request processes, Verify KPI and SLA achievement
· Identify performance issues with root cause analysis
· Collaborate with Regional Leadership and Country Teams
· Develop improvement programs and initiatives
· Create comprehensive trend and action reports, Ensure timely resolution of outstanding matters
· Build relationships with regional service partners, Collaborate with Performance Managers across regions
· Work with Regional Directors and FM teams on optimization
· Propose global system and process improvements, Support cross-functional performance targets

EXPERIENCE
· 3-5+ years in facilities management, performance management, or operations
· Proven KPI monitoring and performance improvement track record
· Large-scale service contracts and MSA experience
· CAFM systems experience (Corrigo preferred), Data analysis and compliance program background
· ARC Dashboard or similar compliance tracking systems
· Advanced Microsoft Excel and data analysis tools, CAFM systems and performance dashboards
· FM industry standards and compliance knowledge
· Asset management and preventive maintenance planning
· Strong analytical and problem-solving abilities
· Detail-oriented data management; Effective communication and presentation skills
· Independent work across multiple countries/time zones
· Proactive performance issue identification
· Stakeholder relationship management
· Regulatory compliance understanding (FM Global, MSS, FCA, BSP, Legionella)
· Fluent English required

- Fluent in French would be a bonus
