Job Title: Operations Coordinator

Job Description

This Operations Coordinator position provides essential administrative and coordination support for reconstruction services following fire, water, and storm damage restoration. The role ensures that reconstruction projects are organized, documented, and progressing smoothly from initial mitigation through final repairs. As a central point of contact, you will facilitate communication between project managers, estimators, subcontractors, insurance adjusters, and customers. Your responsibilities will include managing schedules, maintaining documentation, assisting with estimate preparation, and supporting customer and insurance communications to ensure timely and efficient project execution.

ResponsibilitiesSupport scheduling and task coordination across internal teams and external partners.Monitor project timelines and provide regular updates to stakeholders.Help ensure projects stay aligned with expected scope, budget, and deadlines.Manage logistics such as ordering supplies and confirming appointments.Maintain accurate records and documentation in job management systems (e.g., SERVPRO® systems, DASH).Organize project files and ensure all necessary information is complete and up to date.Assist with preparing and submitting supplemental documentation for insurance carriers and clients.Communicate professionally with insurance adjusters, agents, and clients to support project progress.Respond to customer inquiries, scheduling requests, and service updates.Assist with billing and collections processes related to project activities.Perform other administrative duties as assigned to support the reconstruction team.Essential SkillsHigh school diploma/GED is required.Exceptional customer service skills, strong administrative abilities, and excellent verbal and written communication skills.Proficiency in using various digital tools and technologies to complete job tasks efficiently (i.e. Work Center, Dash, Xactanalysis/Xactimate, DocuSketch).Reliable and flexible with availability for on-call and overtime work.Additional Skills & QualificationsPrevious office/estimating experience preferred.Experience in the restoration, construction, or insurance industry is a plus.2+ years of experience in administrative support in a construction setting.2+ years of experience in project coordination in a construction setting.2+ years of experience in supporting billing and collections.

This is a fully onsite position based out of King of Prussia, Pennsylvania.

Pay and Benefits

The pay range for this position is $22.00 - $25.00/hr.
