Operations Assistant | Winter Park, FL Job Description The Operations Assistant is responsible for providing comprehensive lobby and reception coverage, executing administrative duties, and supporting various tasks associated with the office and its management and staff. Responsibilities + Manage the answering and transferring of all incoming calls. + Greet and direct all visitors and non-visitors in the lobby area. + Electronically process all incoming mail. + Prepare outgoing mail and overnight deliveries. + Coordinate scheduling and setup of all conference rooms for employees and clients. + Coordinate lunch meetings, including ordering, setup, and cleanup. + Maintain the cleanliness of conference rooms, lobby, and kitchen. + Distribute information via email continuously throughout the day. + Work with the property management company to report building maintenance and repair issues. + Maintain contact lists for the office. + Order office supplies and maintain sufficient stock. + Assist operations or other departments as needed with reporting, data entry, deposits, and other administrative support. + Demonstrate proven computer proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.). Essential Skills + Customer service + Administrative support + Front desk operations + Communication and writing skills + Data entry + Microsoft Office proficiency + Clerical skills Additional Skills & Qualifications + At least 1-2 years of experience in a receptionist or customer service role in an office environment. + Excellent oral and written English communication skills. + Superior customer service and problem-solving skills. + Demonstrated proficiency with computer systems, including but not limited to Microsoft Office and automated agency management systems. + Ability to work in a team environment. + Ability to work a regular, full-time work schedule at the facility. Work Environment + This position is based in a very nice and quiet insurance office, which is part of a shared office building. + The Operations Assistant will be connected via a chat system with the receptionist team throughout Florida. + The work environment is fast-paced with lots of moving parts. The hours of operation are from 8:30 am to 5:00 pm with an hour for lunch. + The receptionist will sit at the front of the office. The dress code is business professional, with business casual attire acceptable during the summer months. + Most licensed employees are hybrid; however, the Operations Assistant will work in the office with approximately 3-5 other employees daily. Interaction with the public is limited to certain vendors providing services essential to the office, such as FedEx, Staples, and technology service providers. Job Type & Location + This is a Contract to Hire position based out of Winter Park, Florida. Pay and Benefits The pay range for this position is $18.00 - $18.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
