Job Overview:

The HC Coordinator provides a wide range of support to the Human Capital Operations team. This position maintains employee records and documentation, and provides support on transactions, programs, benefit administration and other initiatives as needed.

This is a hybrid role that requires 2 days per week in our Mexico City office. There is no option to be fully remote.

Key Responsibilities:

Administration of employee files

Managing required documentation in accordance with legal and company requirements and ensures accuracy and completeness.

Request/follow up/download Background Check reports

Accurately enter and maintain hires, extensions, and terminations in the Employment Transaction tool (ET) and Workday, ensuring data integrity across systems.

Be the point of contact with new joiners to gather paperwork

Please coordinate with IT and Office Services to provision the new hire’s laptop and credentials

Preparation of employee documentation such as contracts, termination and exit letters

Creation of the tickets for Prosper (benefit platform) inquiries

Prepare local payroll formats (new hires & modifications to payroll records)

Distribute grocery vouchers & insurance plastics to colleagues

Prepare e-mail communications to the office

Assist with Onboarding logistics

Vacation tracking

Monthly invoices requisitions (background checks, parking, intern agency)

Prepare proof of employment

Prepare & Post Birthday list every month

Post HC relevant information in the boards

Follow up with payroll/audit requirements (copies and scanned files)

Assists in terminations and exits

Ensuring compliance with internal and external regulations

Assist HCM and HC Generalist with administrative support

Reservation of rooms; sending invitations to hosts and new hires

Support colleagues with basic benefits questions; guide to open tickets or escalate

Follow up so new hires register dependents in Prosper and receive policy and card

Help create communications of topics shared during Business Updates

Create employee files including signed contracts in a timely manner

Must familiarize with company policies to guide colleagues

Experience Required:

Bachelor's degree

Entry level role with prior HC intern experience or working in an administrative HC position for 1+ years

Knowledge of local labor laws and regulations is a plus

Technical Skills:

Fluent in English

Proficiency in Microsoft Suite including Outlook, Teams, Word, Excel, PowerPoint

Skills and Attributes:

The ability to be productive, flexible and to manage multiple project priorities in a complex, performance-driven environment

Strong attention to detail and accuracy; able to meet deadlines

Organized, maintain and respect confidential information and a strong sense of urgency
