Our client is seeking a proactive, highly organized Office Manager & Assistant to oversee daily office operations while providing administrative support to three Managing Directors within a growing structured credit platform. This hybrid role requires exceptional judgment, strong communication skills, and the ability to maintain a polished, well‑run office environment. Hours are 8:30am-5:30pm with some flexibility for overtime. The position is hybrid with Monday-Thursday in office and Fridays remote.
Key Responsibilities:
Oversee day‑to‑day office operations including supply management, pantry stocking, facilities requests, vendor coordination, and general upkeepEnsure the NYC office is well‑organized, fully stocked, and operating seamlessly; proactively identify improvements to the workspaceServe as the main go-to for technology setups, troubleshooting, and new‑hire coordinationManage calendars for three MDs (CFO/COO and two Portfolio Managers), resolving conflicts and prioritizing time effectivelyCoordinate domestic and international travel, including detailed itineraries and required documentationHandle expense processing through Concur, ensuring timely and accurate submissionsSupport executive meetings by preparing agendas, materials, communications, and follow‑upsAssist with special projects, internal events, distribution lists, and ad hoc requests across the officeProvide high‑touch, proactive support with a "no task too small" mindset and strong ownership of responsibilitiesQualifications:
5+ years of experience as an Office Manager, Executive Assistant, or hybrid OM/EA in finance or a similar professional environmentStrong organizational skills with the ability to prioritize multiple tasks and juggle competing demandsCreative, proactive problem‑solver with the confidence to anticipate needs and implement solutionsExcellent written and verbal communication skills; polished, professional, and approachable presenceComfortable working onsite and partnering closely with a lean, high‑performing administrative teamProficiency in Microsoft Office Suite; experience with Concur or similar systems a plusCompensation/Benefits:
