Job Description

The Office Manager oversees daily administrative operations to ensure the smooth and efficient functioning of the construction office. This role manages office personnel, coordinates business correspondence, maintains company records, and supports leadership with operational needs. Responsibilities include handling business insurance documentation, managing customer inquiries, assisting with project-related paperwork, and ensuring compliance with internal processes. The ideal candidate is organized, proactive, and comfortable working in a fast-paced, project-driven environment.

Responsibilities

Supervise and support office staff, ensuring efficient workflow and task completion.Manage business correspondence, including emails, letters, proposals, and vendor communications.Maintain business insurance files, renewals, and compliance documentation.Provide customer service support, including answering calls and assisting clients.Oversee office scheduling, supply management, and general administrative functions.Assist with project documentation, invoicing, and coordination with field teams.Maintain organized digital and physical filing systems.

Additional Skills & Qualifications

4+ years of administrative experience in the construction industryCreative problem-solving for customers and business growth.

Work Environment

The work environment is fast-paced and project-driven, requiring the Office Manager to be proactive and adaptable. The role involves working with office software and basic accounting or project management tools. The ideal candidate should be comfortable handling multiple tasks and working closely with a team, including a customer-facing estimator and project admin.

Job Type & Location

This is a Contract to Hire position based out of Madison, WI.

Pay and Benefits

The pay range for this position is $35.00 - $39.00/hr.
