Office Manager
Office Manager (Non-union / Salary) Department: Plant Operations Reports To: General Manager Location: Somerset, KY FLSA Status: Exempt Benefits: Medical, Dental, Vision, STD, Thrift, Life Insurance, Accrual Based Time Off (Vacation and Sick Time separately accrued) Shift (if applicable): Monday – Friday ; 8:00AM – 5:00PM Position Overview The Office Manager shall be responsible, but not limited to, the following: Successful supervision of all office personnel, delegation of workflow in the office data entry, bank reconciliation, daily deposits, completing various reports, creating spreadsheets, and general office duties. Will need to follow verbal and written instructions, complete daily reports, use basic office equipment to process documents in Word, databases, and spreadsheet applications. Key Responsibilities + Supervision of office personnel. + Delegation of workflow in the data office entry, bank reconciliation, daily deposits, completing various reports, creating spreadsheets. + Oversee day-to-day office operations and administrative activities. + Maintain accurate records, files, and documentation (physical and electronic). + Assist with basic accounting tasks including invoicing, expense tracking, and payroll coordination. + General office duties. + All other duties as assigned. Required Qualifications + High school diploma, or equivalent. + Previous office experience. + Previous leadership experience. + Strong organizational and multitasking skills. + Proficiency with office software (Microsoft Office, Google Workspace, etc.) + Ability to handle confidential information with discretion. + Excellent written and verbal communication abilities. + High level of professionalism and attention to detail. Preferred Qualifications + College degree + Bachelor’s of Science – Business Administration, Finance, Accounting, or related field. + Previous dairy plant experience. + Previous experience in office administration or office management role(s). + Ability to ensure compliance with company policies, safety requirements, and applicable regulations. + Team and Growth oriented mindset. Required Skills/Abilities: + Basic computer skills with experience using Microsoft Word and Excel. + Proficiency with a ten-key calculator. + Previous experience with data entry. + Ability to work well with numbers. + Ability to have good phone etiquette. + Support management with reports, correspondence, and special projects. Required Soft Skills: + Ability to work without direct supervision. + Excellent leadership and interpersonal skills. + Coachable and willing to learn. + Ability to communicate effectively both verbally and in writing. + Strong organizational skills. + Ability to plan and execute operational activities. Working Conditions + This position is typically based in an office setting. + Requires consistent interaction with Division staff either verbally or via phone and/or email. + He or she will also be required to travel outside moving from building to building in whatever the conditions are from time to time. + He or she will be required to sit and stand for long periods of time. + He or she will be required to stoop, bend, and reach above the head and below the knees to file and retrieve data.
