General & Administrative (G&A) —including Human Resources, Finance, Legal, Compliance, and Procurement—provide the strategic, operational, and governance support that powers our global business. As an Office Manager, your role is to ensure the smooth and efficient operation of our office, acting as the central point of coordination for multiple business functions. You will manage administrative processes, oversee compliance and legal documentation, support procurement and financial workflows, and facilitate collaboration across departments such as HR, Finance, Legal, Marketing, and Quality. This position requires strong organizational skills, attention to detail, and the ability to work independently in a dynamic, international environment.
Your Responsibilities:
· Oversee daily office operations and ensure smooth administrative workflows.
· Manage documentation, records, and compliance processes in line with company policies and legal requirements.
· Coordinate procurement activities, including purchase orders and supplier onboarding in ARIBA and ARAVO systems.
· Support financial administration by processing invoices, tracking expenses, and collaborating with external accounting services.
· Handle time tracking and absence management in All Hours system to support payroll processes.
· Prepare and submit public procurement documentation via EOJN system.
· Act as the main point of contact between the office and internal departments (Compliance, Legal, Finance, HR, Marketing).
· Organize and coordinate meetings, workshops, and corporate events, including logistics and vendor communication.
· Maintain office space, fleet management, and mobile device administration.
· Ensure accuracy and timely updates in systems such as ARIBA, CRS, Policytech, and DAS.
· Support compliance programs, including documentation for events and regulatory approvals.
· Communicate with professional bodies for event accreditation and manage related documentation.
Your Profile:
· Bachelor degree in Business Administration, Law, Economics, or a related field.
· Experience in office management, administration, or similar roles within a corporate or multinational environment.
· Strong organizational and time management skills, with the ability to prioritize multiple tasks.
· Excellent attention to detail and accuracy in handling documentation and systems.
· Advanced proficiency in English (written and spoken) and strong MS Office skills.
· Experience with systems such as ARIBA, ARAVO, CRS, Policytech, and familiarity with compliance processes is an advantage.
· Ability to work independently and take ownership of tasks in a dynamic environment.
· Strong communication and stakeholder management skills.
· Proactive, solution-oriented mindset and ability to adapt to changing priorities.
