Job Description

Responsibilities

Organize office layout and maintain adequate inventory of office supplies.Coordinate with external vendors and oversee upkeep of kitchen area, including daily stocking of refreshments and snacks.Assist with facility-related projects such as office build-outs, relocations, and remodeling.Support HR with new hire onboarding and employee office moves.Prepare contracts, work agreements, and proposals for approval through DocuSign.Open purchase orders, manage event budgets, and reconcile invoices.Handle shipping and receiving responsibilities when facilities contractor is not on site.Coordinate travel arrangements, complete expense reports, and reconcile corporate credit card.Greet and support guests, external vendors, and candidates.Lead planning and execution of corporate culture events, including monthly happy hours and holiday parties.Manage and organize calendar meetings, ensuring all parties are informed of schedules and conflicts.Demonstrate professionalism in handling confidential and sensitive issues.Provide administrative support on departmental projects requiring assistance.Coordinate planning and preparation of meetings, including setup and catering.

Essential Skills

2-5 years of experience as a Receptionist and/or Office Manager.Knowledge of office administration responsibilities, systems, and procedures.Proficiency in Microsoft Word, PowerPoint, and Outlook.Excellent written communication skills with attention to detail.Strong organizational, time management, and problem-solving skills.Ability to communicate effectively with external contacts and all levels of company personnel.Ability to work independently and as a member of various teams.

Work Environment

This position is based in our South San Francisco headquarters and requires onsite work five days per week. You will be part of a passionate and collaborative team dedicated to advancing oncology medicine.

Pay and Benefits

The pay range for this position is $40.00 - $50.00/hr.
