Job Description & Summary

Reporting to the Centre of Excellence (COE) Partner, the Office Manager will ensure the smooth day-to-day operations of the COE office, providing administrative support, assisting with the overseeing of the facilities and vendors and enabling teams to work efficiently. The Office Manager will work with the COE Leadership to handle day-to-day management of initiatives and programs balancing hands-on office coordination with process improvement.

Assist with the execution of monthly, quarterly and annual goals and action plans developed for the COE. 

Provide leadership and administrative support to a team of Compliance Analysts. 

Maintain work schedules to ensure sufficient coverage within the office inclusive of absence management and reporting to HC where non-compliance is observed. 

Manage office operations, supplies, equipment, and vendor relationships in conjunction with the Manager, Business Services. 

Serve as primary point of contact for office-related inquiries and maintenance. 

Oversee mail, shipping and reception duties (phone, visitors). 

Work with the IT and Business Services teams to support onboarding for new hires (workstation setup, access). 

Maintain office policies, procedures and safety/compliance standards. 

Coordinate with IT for hardware, software and access needs. 

Coordinate with HC in handling recruitment, performance management and employee relations matter as needed including conflict management. 

Drive culture initiatives and team communications; plan team events in conjunction with HC and the COE leadership team. 

Prepare and manage correspondences and or reports as required. 

Identify opportunities to streamline processes and improve efficiency. 

Capabilities and Skills:

Proven experience organising and directing multiple teams and or departments 

Excellent communicator in written and verbal form with a strong focus on interdepartmental communication. 

Experience with utilizing a variety of data analytics tools 

Nimble business mind with a focus on developing creative solutions  

Education and minimum years experience required

First Degree in Accounting, Business Management or related fieldACAMS certification or Project Management certification would be a distinct advantageFive (5) years in managing and or directing multiple teams
