These include Utah Bound Orientation, Swoop Camp Extended Orientation, Summer Send-Offs, and more. To support these efforts, the Office of Orientation & Transition hires a Office Coordinator to oversee the office and office assistants, provide administrative support for office leadership, and support the implementation of Utah Bound Orientation programming. This position reports to and assists the Director of Orientation & Transition. The Office Coordinator works closely with incoming students, staff, and campus partners to provide support during Orientation & Transition office programming and will have many opportunities to learn about the different roles and departments within higher education. L **earn more about the great benefits of working for the University of Utah: benefits.utah.edu** **Responsibilities** + Represent the Office of Orientation & Transition, Enrollment Management, the Division of Academic Affairs, and the University of Utah with professionalism and good judgment. + Supervise, train, and participate in hiring office student staff. + Manage office phones, emails, office supplies, and equipment and supplies inventory. + Provide back up for front desk and general office support, such as greeting and directing visitors, handling incoming calls and processing mail. + Respond to day-to-day inquiries via oral and written communication with new students, guest, and other campus partners. + Maintain and coordinate meetings, calendars, and phone calls. This may include development of meeting agendas, minutes, and task lists. + Manage website support. + Implement, supervise, and maintain quality programming as assigned by Director. This includes, but not limited to Utah Bound Orientation Student Success Festival, Virtual Utah Bound Orientations and UOnline Utah Bound Orientation. + Responsible for making decisions (in partnership with leadership team) related to programming in an effective and conscientious manner. + Participate in implementation of Utah Bound Orientation (Student and Guest) sessions for first year and transfer students each semester, helping welcome over 8,000 new students and over 4,000 family members to campus. + Maintain accurate and detailed event records. + Assist in preparing presentations, handouts, and related education materials for office assistants and programs. + Assess and evaluate programs and events to identify improvements for future. + Meet regularly with Orientation & Transition Director to ensure appropriate coordination and support. + Communicate professionally and effectively with the Assistant Directors, Accountant, Orientation Team Leaders, Orientation Leaders, Office Assistants, and all other stakeholders. + Work closely with the Assistant Directors to support their roles and programs. + Support training for Orientation Leaders (Orientation Leader Retreat & Orientation Leader Foundations Training) + Participate in cross training and professional development to grow and maintain skills. + FERPA compliant and maintains integrity with student, staff, and program records. + Must be proficient with Outlook calendar system, Microsoft Office and Adobe software. + Make travel arrangements and completes travel reimbursements for departmental staff and visitors. + Serve as a role model for student staff and incoming students. + Other duties as assigned. **Minimum Qualifications** Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required. Master’s degree in a related area may be preferred.
