In addition to our core facility and project management capabilities, our platform offers direct access to our Best-in-Class services including ESG, Security Consulting, Workplace Strategy, and Workplace Experience. **About the role** The Office & Contract Support Associate is responsible for ensuring the smooth, efficient operation of the office while supporting contract administration and account governance tasks. This hybrid role provides administrative support, client service, vendor coordination, financial processing, receptionist/office coordination functions, and workflow management. The individual serves as a key connection point between internal teams, clients, and vendors, helping ensure high‑quality service delivery and organized business operations. **What You’ll Do:** **Office & Administrative Support (Primary)** •Serve as the central point of contact for the office, ensuring professional communication with employees, clients, and visitors. •Perform receptionist duties as needed, including greeting guests, managing incoming calls, and supporting front‑of‑house operations. •Provide general administrative support to internal teams, including scheduling, document creation, presentations, and correspondence. •Maintain and update department CRM databases (e.g., Efficy, Propertyweb); proactively follow up with clients to ensure accurate information. •Support the Office Manager with daily tasks, event coordination, office supply management, mail handling, and facilities-related needs. •Assist with AML/KYC tasks, compliance requirements, and internal administrative procedures. •Update fee pipelines, track deliverables, and request invoices from finance as needed. •Maintain strong organization and time‑management practices to keep workflows structured and efficient. **Contract Support & Financial Administration (Secondary)** •Act as a point of contact for client inquiries, ensuring timely and courteous communication. •Support account governance through financial reporting (WIP, debt, OPOs, invoicing pools), budget tracking, and data analysis. •Assist with customer billing and invoicing, ensuring accuracy, compliance, and margin integrity. •Coordinate vendor onboarding; maintain subcontractor documentation for reactive and planned work. •Maintain and update CMMS and web‑quote systems, ensuring job statuses and data remain current. •Monitor helpdesk activities: log service requests, track progress, and coordinate resolution with vendors and internal teams. •Prepare client-facing and internal reports; attend meetings, record minutes, and support monthly business reviews. •Maintain QHSE documentation and support compliance with Health, Safety, and Environmental standards. •Recommend process improvements, cost-saving initiatives, and opportunities for operational efficiency. •Support contract compliance by maintaining obligations, documentation, and quality audits. **What You’ll Need:** •High School Diploma or GED required; Associate’s degree in Business, Accounting, Finance, or a related field preferred. •3–5 years of experience in administrative support, office coordination, or contract support roles. •Strong proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint). •Experience with CRM databases and/or CMMS tools preferred. •Excellent verbal and written communication skills. •Strong organizational, time‑management, and multitasking abilities. •Ability to analyze information, resolve issues independently, and meet deadlines. •High attention to detail and strong financial acumen (markups, percentages, cost tracking). •Professional, proactive, positive mindset with strong customer-service orientation. **Preferred Attributes** •Experience in real estate, facilities management, or professional services environments. •Ability to collaborate with diverse teams and build strong working relationships. •Commitment to accuracy, compliance, confidentiality, and continuous improvement. **Why CBRE** When you join CBRE, you become part of the global leader in commercial real estate services and investment that helps businesses and people thrive. The minimum salary for this position is $26.60/hr, and the maximum salary for this position is $24.04/hr. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
