Hiring Unit:
The Career Planning Service (CaPS) supports McGill students and recent alumni in the exploration of their career options. This includes not only internships but also permanent, part-time, and summer job searches. CaPS also help students develop lifelong career management skills by providing workshops, individual advising, a comprehensive job posting service, and an extensive Career Resource Centre.
The Career Planning Service (CaPS) at McGill University support students in career development and student leadership engagement. This position offers a dynamic opportunity to contribute to both front-line service and student leadership initiatives.
Main Responsibilities:
Under the supervision of the CaPS Senior Administrative Coordinator and Associate Director, the incumbent will:
Front Desk & Administrative Support (CaPS):
Manage the front desk area and provide excellent customer service to students, employers, and other stakeholders.
Greet and direct students to appropriate staff or services.
Respond to phone and email inquiries professionally and promptly.
Schedule student appointments and assist with workshop postings on the myFuture platform.
Support employers with job postings and navigation of the myFuture system.
Assist with general administrative tasks and outreach initiatives.
Support advising programming (workshops, drop-in sessions, tabling)
MINIMUM EDUCATION, CERTIFICATION AND EXPERIENCE:
High School Diploma with two years of relevant experience in the field of work
Qualifications and Skills:
Proficiency in English (Level 4); knowledge of French is an asset.
Experience in a front-facing role with strong interpersonal skills.
Excellent oral and written communication skills.
Strong attention to detail, time management, and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with social media platforms (e.g., Instagram, LinkedIn and Facebook).
Ability to work independently and collaboratively; self-motivated and proactive.
Awareness of McGill’s student services and engagement opportunities is an asset.
Punctual, reliable, and maintains a positive, professional attitude.
Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 3 (spoken, advanced ) and at a level 2 (written, intermediate) on a scale of 0-4.
