We are seeking an Office Administrator to provide administrative, financial, and contract coordination support. In this position, you will coordinate Request for Proposal (RFP) and contract administrative tasks; process financial transactions; maintain program records; assist with program operations; and support the Program Director, partners, and external stakeholders to ensure compliance with state policies and efficient program delivery. Only applicants whose application materials clearly demonstrate fulfillment of each of these minimum qualifications will be considered for the position. + Skill in basic accounting sufficient to prepare financial statements, bills or invoices, and record amounts due for items purchased or services rendered. + Skill with accounting systems sufficient to query and compile records and reports, analyze and verify financial records, and process expenses. + Knowledge of communications sufficient to: (i) read, explain, and interpret program policies and procedures to both internal and external customers; (ii) respond effectively to sensitive inquiries and/or complaints with tact and diplomacy; and (iii) explain reasons for transactions and procedures, rules, and regulations so that others understand the information they are being given. + Knowledge of computerized inventory management software systems and applications to maintain records, including filing and storage of documents. + Skill in customer service to respectfully engage with clients, coworkers, and customers when handling difficult or complex problems. + Skill in data entry sufficient to: (i) read source documents and enter data in specific fields; (ii) locate and correct data entry errors; and (iii) receive and review source documents, compare documents to database information, and edit and correct documents. + Ability to perform word processing to create, format, edit, print, and save a variety of documents (such as contracts, purchase orders, invoices, and financial documentation). **Preferred Qualifications** + Knowledge of state procurement, contracting, and financial processes to ensure a smooth flow of work between team members and across multiple agencies. + Knowledge of the principles and practices of office management sufficient to plan, organize, and improve work processes and workflows. + Proficiency with Microsoft Office Suite (e.g., Word, Excel, Outlook, and Teams), DocuSign, EIOR (electronic inter-office requisition), and SWIFT. + Strong organizational, prioritization, and time management skills, including attention to details. + Ability to work and complete tasks independently as well as collaboratively in a team environment. + Ability to maintain confidentiality and handle sensitive information appropriately. + Cultural competency and understanding of the barriers, as well as opportunities, to information and access for communities and individuals with disabilities. **Physical Requirements** Work is performed primarily in an office environment involving extended computer use. This position may be sedentary entailing sitting or standing for extended periods of time. Repetitive movements will be required to perform word and data processing for extended periods of time. Working conditions in an office environment will primarily be under controlled temperatures. Occasional lifting of up to 40 pounds and handling of program equipment may be required, with or without assistance. As such, applicants will need to stoop, kneel, or crouch; reach with hands and arms; and use fine motor skills with wrists, hands, and fingers. **Additional Requirements** Successful applicants must pass a criminal background check through American Databank and employment reference checks prior to employment.
