Job Title: Office Administration Assistant
Job Description

As an Office Administration Assistant, you will collaborate with Project Managers and other team members to deliver quality and timely services to customers and the corporate office. You will prepare contracts for implementation and ensure effective communication within the organization to the relevant team members. Additionally, you will provide quality administrative support by maintaining quotes, spreadsheets, reports, scheduling meetings, taking minutes, pulling job permits, and assisting the Safety and Sales departments as needed. You will perform your duties confidently, occasionally without supervision, while entering weekly payroll and processing new hire paperwork.

ResponsibilitiesCollaborate with Project Managers and team members to deliver quality and timely services to customers and the corporate office.Prepare contracts and ensure effective communication within the organization.Provide administrative support, including maintaining quotes, spreadsheets, reports, scheduling meetings, taking minutes, pulling job permits, and assisting Safety and Sales departments.Perform duties effectively and confidently, occasionally without supervision.Enter weekly payroll and process new hire paperwork.Essential SkillsMinimum 3-5 years of recent administrative support experience.Minimum 2 years accounting/billing experience preferred.Proficiency in Microsoft Word, Excel, PowerPoint, and other Microsoft Office applications.Strong communication and interpersonal skills with the ability to interact positively and proactively with all levels of the organization.Excellent written and verbal communication skills.Team player attitude and professional appearance.Additional Skills & QualificationsAbility to use formulas and build tables in Microsoft Excel.Previous experience in the Mechanical/Electrical field is preferred but not required.Knowledge or experience within a mechanical contracting firm is a plus.Work Environment

The role is based in a cubicle office environment, working Monday through Friday from 8:00 AM to 5:00 PM.

Pay and Benefits

The pay range for this position is $20.00 - $22.00/hr.
