This position provides administrative support directly to the Victim Services & Restorative Justice (VSRJ) unit. This position assists in the data entry, manual notifications, and ongoing maintenance and promotion of Minnesota Haven, the Department of Corrections’ notification system. The position is responsible for responding to initial inquiries on the VSRJ phone and email lines as a first point of contact for victims, family members, community members, and criminal justice professionals. The position provides general clerical and technical support to the unit by maintaining databases and records, doing scheduling, compiling reports for supervised release board and re-entry cases, doing safety screenings, and providing support as needed for the unit’s programming work.
**Minimum Qualifications**
To be qualified for and considered for this position, applicants must meet all the minimum qualifications listed below. + Data entry skills sufficient to accurately enter and save information in database management systems, such as the Correctional Operations Management System (COMS), Minnesota Court Information System (MNCIS) and Bureau of Criminal Apprehension (BCA).
+ Typing/keyboarding skills sufficient to perform skilled typing tasks with speed and accuracy.
+ Word processing skills sufficient to prepare memos and letters that are grammatically correct, in proper format and free of spelling errors.
+ Spreadsheet software skills sufficient to enter and update data on spreadsheets.
+ English language skills sufficient to read, explain and interpret a variety of documents and follow detailed instructions.
+ Communication and customer service skills sufficient to provide prompt, courteous and accurate information to victims, offenders, staff, state and government officials on the phone, through email and other written correspondence.
**Preferred Qualifications**
+ Experience working with victims/survivors.
+ Experience working with offender records.
+ Experience sorting, organizing and/or filing records.
+ Experience using COMS, MNCIS and/or BCA.
+ Experience working in a correctional setting.
+ Microsoft Office skills including Microsoft Word, Outlook, and Excel.
+ Skill in recordkeeping.
+ Knowledge of the Minnesota Data Practices Act.
**Physical Requirements**
The selected finalist is required to review and sign a Physical Demands Analysis (PDA) for this position. For a copy of the PDA, please email Shelley Rojesky at shelley.rojesky@state.mn.us . This position will require Tuberculosis screening prior to hire.
**Additional Requirements**
The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections’ policy. Top candidate(s) must pass a criminal history check which includes successful completion of all sentencing and/or restitution requirements of law enforcement jurisdictions, including probation.
Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections’ policy. This may include a review of job performance and discipline records.
New employees will be fingerprinted within the first 30 days of employment.
