1. Role
Purpose
The
Collaboration Support Specialist is responsible for the administration,
support, and optimization of collaboration platforms and digital productivity
tools across Aptia s enterprise environment. The role also supports identity
and access services through Active Directory and Azure AD, ensuring
seamless authentication, authorization, and secure access to Microsoft 365
workloads.
The specialist works closely with Service Desk, EUC, Identity, and Security
teams to maintain service quality, compliance, and performance standards.
2. Key
Responsibilities
Microsoft
365 & Identity Administration
services: Exchange Online, Teams, SharePoint Online, OneDrive for
Business, and Yammer. Perform user lifecycle
management across Active Directory and Azure AD (joiner, mover,
leaver). Handle user provisioning,
license assignments, AD/Azure AD group management, role
assignments, and permissions. Troubleshoot and resolve authentication,
access, and directory synchronization issues (Azure AD Connect). Manage mail flow, distribution
lists, shared mailboxes, and retention policies.
Active
Directory & Hybrid Identity Support
Directory including users, groups, OUs, and Group Policies (GPOs). Support hybrid identity
environments integrating Active Directory with Azure AD and Microsoft
365. Monitor and resolve AAD
Connect sync errors, password hash sync, pass-through authentication,
and federation issues. Assist in RBAC, conditional
access dependencies, and identity governance processes. Collaborate with Security teams
on identity hardening, access reviews, and privileged access controls.
Teams
& Unified Communication Support
configurations including Teams policies, channels, and governance. Support Teams Room devices,
conference room technology, and collaboration hardware (Poly, Crestron,
Logitech). Manage Teams Voice (Calling
Plans, Auto Attendants, Call Queues) and telephony integrations. Ensure Teams, Exchange, and identity
integrations function smoothly.
SharePoint
& OneDrive Management
permissions, and document library structures in SharePoint Online. Support synchronization,
sharing, and access management in OneDrive for Business. Implement data retention,
compliance labeling, and sharing restrictions per corporate policy. Work with business units to
optimize document collaboration and storage.
Email
& Messaging Support
transport rules, and message trace in Exchange Online. Support DKIM, SPF, and DMARC
configurations in coordination with Security teams. Manage Outlook client issues,
mailbox migrations, and hybrid Exchange/AD troubleshooting.
Security
& Compliance Integration
security controls. Support sensitivity labels, DLP
policies, audit logs, and access reviews. Collaborate with Security and
IAM teams to ensure adherence to Aptia data governance and identity
standards.
Monitoring,
Reporting & Optimization
health via M365 Admin Center and Azure AD dashboards. Generate usage analytics and
adoption reports. Identify optimization
opportunities to enhance user experience and reduce incidents. Participate in change
management and testing of new collaboration and identity features.
Documentation
& Knowledge Management
for collaboration and identity configurations. Create and update KB articles
and end-user how-to guides. Contribute to training material
and user adoption programs.

Required Skills & Experience
Technical
Skills
365 administration (Exchange Online, Teams, SharePoint). Hands-on experience with Active
Directory (Users, Groups, OUs, GPOs). Experience with Azure AD /
Entra ID, hybrid identity, and Azure AD Connect. Troubleshooting authentication,
SSO, and directory synchronization issues. Experience with Teams Voice and
hybrid Exchange environments. PowerShell scripting for AD,
Azure AD, and M365 automation. Knowledge of Microsoft Security
& Compliance Center, DLP, retention policies. Experience supporting AV/VC
technologies and Teams Rooms hardware.
Soft
Skills
stakeholder collaboration skills. Excellent analytical and
troubleshooting abilities. Ability to manage multiple
priorities in a fast-paced environment. Customer-focused mindset with
emphasis on service quality.
4.
Qualifications
Science, IT, or related field. 5-8 years of experience in Collaboration, Identity, or
M365 Administration. Microsoft 365 Certified:
Messaging Administrator Associate / Teams Administrator Associate
preferred. Microsoft Identity and Access
Administrator certification - good to have. ITIL Foundation Certification
desirable. Experience in hybrid AD +
cloud-only M365 environments required.
