Location: Levindale Hospital, Baltimore, MD
Department: Nursing Operations
Schedule: Monday–Friday, 8:00 a.m. – 4:30 p.m.

Summary

Under limited supervision, the Lead Nursing Administrative Coordinator provides advanced administrative and operational support to the Nursing Operations department. This role leads daily staffing and scheduling activities, ensures optimal utilization of nursing and agency personnel, and maintains the accuracy of scheduling systems. Acting as a liaison between Nursing Leadership, staff, and external agencies, the Lead Coordinator ensures efficient operations, regulatory compliance, and exceptional customer service across the department.

Responsibilities

Lead and coordinate daily staffing, scheduling, and agency utilization to meet established guidelines.

Monitor staffing levels, identify shortages or overages, and implement proactive coverage plans.

Maintain and update computerized scheduling systems; ensure data accuracy and timely rollovers.

Generate staffing and utilization reports; analyze trends and recommend process improvements.

Serve as the primary contact for agency coordination, timekeeping, and payroll accuracy.

Provide administrative support to Nursing Management, ensuring effective communication and documentation.

Oversee and mentor support staff, ensuring timely completion of daily tasks and adherence to policy.

Maintain organized records and ensure compliance with departmental, regulatory, and audit standards.

Support process improvement initiatives that enhance operational efficiency and service quality.

Provide coverage for Nursing Administrative Coordinators as needed.

  Qualifications

Education

Required: High School Diploma or GED

Preferred: Associate’s Degree

Experience

Required: 3–5 years of administrative or scheduling experience in a healthcare environment

Preferred: Prior lead or supervisory experience

Skills

Strong problem-solving and critical-thinking abilities

Excellent verbal and written communication skills

Proficient in Microsoft Office Suite and scheduling systems

Ability to multi-task and prioritize in a fast-paced environment

Knowledge of HealthStream and general computer literacy

Working Conditions

May require bending, lifting (up to 20 lbs.), standing, or sitting for extended periods

Exposure to bloodborne pathogens, communicable diseases, and cleaning agents

May work weekends, evenings, on-call, or extended hours as needed

Requires the ability to hear alarms, communicate effectively, and access equipment in limited spaces
