You will act as the center of control and people rely on your support and skill to keep things running smoothly as you take care of Calendars and agendas, Travel and Expenses, budgets, expenses, ordering supplies, Purchase orders, answering calls and emails.

How you will contribute

You will:

Provide administrative support executing activities and build an effective relationship with those you supportPerform duties as needed related to Calendar and agenda management, budget, travel and expenses, including Visa Management and purchasing processesSupport as needed the management of internal and external meetings and events, and trainings.Answer calls/emails, responding to queries and requests appropriatelyComplete and update organisation charts and maintain distribution lists related to the teams you support and manage related systems and dataManage purchase orders for the departments you supportUndertake additional projects and tasks as requested and where relevantStakeholder ManagementDocument preparationCoordination of Communication within Function

What you need to know about this position:

You will be the assistant for the VP, R&D Quality Assurance MEU, VP R&D Consumer Science and for 2 other Directors for travel and expenses and Adhoc support.

MDS Management Assistant role scope and Skills requiremens:

Support of multiple high-level executives based in Switzerland, Zurich:

Outlook calendar management:Organization of internal meetings (booking rooms, scheduling Outlook calendar entries, setting up MS Teams meetings)Arrange and facilitate meetings also with external colleagues, ensuring all parties can attend and that rooms are availableRearrange schedules to accommodate last-minute changes and emergency cancellationsMaking travel arrangements and detailed travel itineraries for business trips (booking flights, hotels via an internal booking tool, arranging taxis, trains and car rentals)Managing expenses on a monthly basis, preparing and submitting expenses reports to a deadlineEnsure to follow established company policies, procedures or particular instructions.Support/coordinate arrangements for various internal and external meetings and events (e.g., offsites, workshops, team events, etc.)Updating team lists and distribution listsOccasionally processing of incoming invoices, creation of Purchase Orders and follow upAdministrative support via internal I-requests and other occasional organizational tasks as needed and agreed

Strong organizational skills

Administrative and organizational skills go hand in hand. Not only do those in administrative positions keep on top of competing priorities by multitasking, they often help their managers juggle their schedules

Communication skills

Written and verbal communication skills are highly important administrative skills. Absorbing and disseminating information in a practical and understandable way. The ability to effectively communicate with a wide range of people in different ways. Clarifying complex information, both written and verbal.

Teamwork and interpersonal skills

The ability to build solid, collaborative relationships with colleagues. Adaptability and acting as a team player rather than a lone individual. Practicing empathy and communicating well.

Keeping the broader business goals and objectives in mind while working on tasks. Receiving and providing constructive feedback.

Customer service skills

Complaint and problem resolution. Building customer loyalty. Setting customer expectations. Liaising between key colleagues and clients. Engagement.

Problem-solving skills refer to a person’s ability to successfully manage and find solutions for complex and unexpected situations. The ability to identify problems and decide on the best solution. Technology and software skills

Proficiency with Microsoft Office products (Excel, Word, PowerPoint). Ability to use a large range of email clients (Outlook, Teams). Managing databases. Using different SAP and internal tools. Using a travel platforms/booking tool to organize business travel.
