You will help manage and maintain the facilities of a site/office (excluding manufacturing and IT-related areas) to ensure a conducive and comfortable work environment in accordance to health, safety, environment and security policy, guidelines and requirements.

How you will contribute

You will: 

Coordinate and monitor the daily cleaning, maintenance and repairs for the site infrastructure (cafeteria, pantry, office area, internal mailing etc.), ensuring all vendor service levels are met and escalating and following up on any unresolved issuesLead all aspects of facilities management including technical installations of energy, maintenance, development and optimal availability and safety of on-premises activities in compliance with all relevant legal requirementsSupport the facilities requirements of all factory/office-related projects and investments related to the property and to some extent productionEnsure that the company's electrical safety policy is complied with and that power-intensive electricity works are carried out under current rulesAdhere to the budget and annual plan for the maintenance of the site/office and ensure timely vendor paymentsEstablish and follow-up on comprehensive and detailed environmental objectives for the plant and disseminate information about these including energy consumption, water consumption and different emissions

The Manufacturing Site Administrator plays a vital role in supporting the smooth and efficient operation of the manufacturing facility by providing comprehensive administrative support across various functions, including PPE distribution, HR administration, education and training coordination, employee engagement activities, and time & attendance management. This position offers a unique opportunity to develop a strong foundation in administration within a manufacturing environment.

What you need to know about this position:

Key Responsibilities:
• PPE (Personal Protective Equipment) Distribution:
o Manage the site's PPE inventory, ensuring adequate stock levels are maintained.
o Oversee the distribution of PPE to employees, ensuring proper fit and usage guidelines are followed.
o Maintain accurate records of PPE distribution and usage.
o Work with the EHS team to identify PPE needs and ensure compliance with safety regulations.

• HR Administration:
o Provide administrative support to the HR team, including preparing HR-related documents, maintaining employee files, and processing HR transactions.
o Assist with onboarding and offboarding processes, including paperwork, system updates, scheduling of incoming and outgoing medicals and employee orientation.
o Support recruitment activities by scheduling interviews, coordinating logistics, and assisting with candidate communication.
o Respond to employee inquiries regarding HR policies, procedures, and benefits.


• Education & Training:
o Coordinate and schedule training programs with E&T Representatives for site employees, including safety training, job-specific skills training, and compliance training.
o Maintain training records and track employee completion of required training.
o Assist in the development and delivery of training materials.
o Work with external vendors to schedule and coordinate training sessions.


• Engagement Events:
o Plan, organize, and execute employee engagement events and activities to foster a positive and inclusive work environment.
o Manage event logistics, including venue selection, catering, communication, and budget management.
o Solicit employee feedback on engagement initiatives and make recommendations for improvement.
o Promote employee participation in engagement events.


• Time & Attendance:
o Support the management of the site's time and attendance process and system, ensuring accurate recording of employee work hours and absences. Including vacation, sick leave, and personal time.
o Generate time and attendance reports for payroll processing.
o Address employee inquiries regarding time and attendance policies and procedures.

• General Administrative Support:
o Provide general administrative support to the site leadership team, including managing calendars, scheduling meetings, and preparing presentations.
o Handle incoming and outgoing correspondence.
o Maintain office supplies and equipment.
o Assist with other administrative tasks as needed.

Education / Certifications:

• Education: Bachelor's degree in Human Resources, Administration, or a related field required.

Job specific requirements:

o 2-5 years of experience in an administrative support role, preferably in a manufacturing environment.
o Experience with HR administrative tasks is a plus.
