The University of Miami's College of Arts and Sciences has an exciting opportunity for a full-time Manager, Programs to work in Coral Gables, FL.

The Manager, Programs for the College of Arts and Sciences provides comprehensive programmatic and administrative support to enhance the student experience and advance the College’s academic mission. With dual reporting to the Senior Manager for Administrative Operations and the Assistant Dean for Academic Programs, this position supports both the Dean’s Office and undergraduate program operations with a focus on excellence, collaboration, and service.

The Manager, Programs coordinates and executes academic programs and events and supports the College’s interdisciplinary programs to promote student engagement and academic success. In addition to program management, this role provides senior-level administrative support to the Dean’s Office. Serving as a key point of contact for students, faculty, and leadership, the Manager, Programs ensures that College initiatives run efficiently, strategically align with institutional goals, and reflect the College’s commitment to innovation, engagement, and excellence in higher education.

This position requires exceptional organizational, communication, and interpersonal skills, as well as sound judgment in navigating complex situations. The Manager, Programs regularly handles sensitive and confidential information with discretion and professionalism, demonstrating adaptability and the ability to manage multiple priorities in a fast-paced environment. A strong commitment to collaboration across departments, faculty, and student support units is essential. Additionally, the individual serves as a back-up to the Senior Manager for Administrative Operations, ensuring continuity of operations within the College.

Coordinates, manages, and implements all related logistics to (new and ongoing) academic interdisciplinary programs, events, and special projects. Responsibilities include working with vendors / caterers, processing purchase orders, reserving event spaces, preparing expenditure paperwork, and creating invitations, mailings, and event materials (e.g., faculty and staff recognition events, Future ’Cane Day, Scholarship Weekend, etc.)

Collaborates with program directors and internal stakeholders to ensure interdisciplinary programs run efficiently and effectively; include managing administrative processes for interdisciplinary programs and other special initiatives.

Coordinates with interdisciplinary program directors, builds and enters course schedules and instructor assignments into CLSS and processes co-listing requests; works with program directors regarding details of scheduling and room assignments.

Manages and coordinates the College’s awards (e.g., Beyond the Book, Cooper Fellows, Graduate Student awards, etc.), including receiving and processing applications, coordinating committee reviews, preparing award and decline notifications, and maintaining detailed financial spreadsheets.

Monitors program and student and faculty reports, as needed.

Ensures the effective management of interdisciplinary program operations within authorized budgets, monitoring expenditures and maintaining financial compliance.

Coordinates and executes all transactional processing work for special instructor hiring, CAS awards, programs and any other Dean’s initiatives.

Manages and coordinates travel and related requests and expenditures for the Dean’s Office and interdisciplinary programs.

Provides senior-level administrative support to the Dean’s Office and Senior Associate Deans (including meetings and managing special projects and events).

Hires and provides direct supervision of student assistants

Attends relevant College meetings and assist with the development, preparation, and dissemination of College minutes and materials for meetings and events.

In the absence of the Senior Manager for Administrative Operations, this position will provide high level administrative support to the Dean and all his constituencies.

7. Develops and cultivates relationships and partnerships with various internal/external entities and organizations to further department functions.

8. Recruits, supervises, evaluates, and disciplines department staff to ensure optimum performance.

9. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Minimum Qualifications

Bachelor’s degree in relevant fieldMinimum 4 years of relevant experience

Communication: Strong verbal and written communication skills to convey ideas clearly and persuasively.
