This Position reports to:

Your role and responsibilities
In this role, you will have the opportunity to provide administrative services and/or secretarial assistance at an organization or business level. Each day, you will perform complex administrative tasks. You will also showcase your expertise by taking ownership of delivering specific business processes/programs.
The work model for the role is: hybrid
This role is contributing to the Administrative Departement in Ostrava
You will be mainly accountable for:
1. Calendar & Schedule Management
Organize and maintain the Management calendars
Schedule meetings, appointments, town hall and travel arrangements
Prioritize time-sensitive tasks and avoid conflicts
2. Communication Handling
Act as the first point of contact for internal and external stakeholders
Screen calls, emails, and correspondence
Draft and proofread documents, reports, and presentations
3. Administrative Support
Prepare meeting agendas, take minutes, and follow up on action items
Maintain filing systems (digital and physical)
Handle expense reports and basic bookkeeping tasks
4. Travel & Logistics Coordinator
Arrange flights, accommodations, and transportation
Prepare itineraries and ensure all travel documents are in order
5. Confidentiality & Discretion
Manage sensitive information with the highest level of confidentiality
Ensure compliance with company policies and data protection standards
6. Task & Project Assistance
Support small projects or initiatives as delegated.
Track deadlines and deliverables for the management team.
Serve as the coordinator and quality guarantor for events
Create presentation
Qualifications for the role
Previous experience in an assistant position, preferably in an international environment
Fluent in English, both spoken and written
Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Calendar and scheduling tools (e.g., Outlook, Teams Calendar)
High sense of confidentiality (as tasks may involve handling confidential data/information)
Proactive work methods, ability to prioritize tasks
Ability to work in an international virtual environment
