Mailroom Operative 

Position Summary 

We are seeking a detail-oriented and reliable Mailroom Operative to manage all incoming and outgoing mail, packages, and deliveries for our life sciences facility. This role is critical in ensuring timely and secure handling of sensitive materials, regulatory documents, and laboratory supplies while maintaining strict compliance with industry protocols. 

Key Responsibilities 

Mail & Package Management 

Sort, distribute, and deliver incoming mail and packages to appropriate departments and personnel 

Process outbound mail and packages, including proper packaging and shipping label preparation 

Maintain accurate delivery logs and tracking information 

Handle time-sensitive materials including regulatory submissions and clinical trial documents 

Coordinate with shipping carriers (FedEx, UPS, DHL, USPS) for pickups and deliveries 

Laboratory & Research Support 

Safely handle and distribute laboratory supplies, reagents, and equipment (following safety protocols) 

Manage temperature-sensitive shipments (dry ice, frozen materials) per regulatory requirements 

Coordinate specimen and sample shipments with appropriate chain of custody documentation 

Support shipping of clinical trial materials and regulatory documents 

Compliance & Documentation 

Maintain detailed shipping and receiving records for audit purposes 

Ensure compliance with FDA, DEA, and other regulatory shipping requirements 

Handle controlled substances shipments according to company protocols 

Maintain confidentiality of sensitive research and proprietary information 

Administrative Duties 

Operate mailroom equipment (postage meters, scales, sorting machines) 

Maintain inventory of shipping supplies and materials 

Process mail forwarding requests and address changes 

Assist with special projects and facility moves as needed 

Required Qualifications 

High school diploma or equivalent 

1-2 years of mailroom or shipping/receiving experience preferred 

Basic computer skills (Microsoft Office, shipping software) 

Ability to lift up to 50 pounds regularly 

Strong attention to detail and organizational skills 

Excellent written and verbal communication skills 

Preferred Qualifications 

Experience in pharmaceutical, biotech, or healthcare environment 

Knowledge of hazardous materials shipping regulations (IATA, DOT) 

Familiarity with controlled substance handling procedures 

Experience with inventory management systems 

Physical Requirements 

Ability to stand, walk, and lift throughout the workday 

Manual dexterity for handling packages and operating equipment 

Visual acuity for reading addresses and sorting materials 

Ability to work in various environmental conditions (temperature-controlled areas)
