Position Summary

The High‑Volume Printing and Mailing Specialist is responsible for operating and managing high‑volume print and mail equipment, ensuring timely, accurate, and high‑quality output for internal and external customers. This role requires strong attention to detail, exceptional organizational skills, and the ability to troubleshoot production issues efficiently. A key component of this position is delivering excellent customer service—communicating clearly with clients, understanding their needs, and ensuring satisfaction throughout the production cycle.

Key Responsibilities Printing & Production Operate high‑volume digital printing equipment, inserters, folders, postage meters, and related machinery. Prepare, format, and process print files according to customer specifications. Perform quality checks to ensure accuracy, print clarity, and proper formatting. Monitor production schedules to ensure all print jobs are completed on time. Conduct routine equipment maintenance and coordinate service when needed. Mailing Operations Execute high‑volume mail runs including addressing, sorting, inserting, folding, and metering. Ensure compliance with USPS regulations and mailing standards. Prepare daily/weekly postal reports, manifests, and documentation. Manage inventory of mailroom and print supplies (ink, toner, paper, envelopes). Customer Service Serve as the primary point of contact for print and mail service requests. Collaborate closely with customers to clarify job requirements, deadlines, and deliverables. Resolve issues quickly and professionally, providing updates on job status when needed. Assist with estimating job costs and communicating timelines. Administrative & Reporting Maintain accurate logs of production jobs, machine usage, and error reports. Track and document job completion, materials used, and postage expenses. Follow all company policies related to data privacy, confidentiality, and security. Required Skills & Qualifications 2+ years of experience in a high‑volume print and mail environment. Strong knowledge of digital printing systems (e.g., Ricoh, Canon, Xerox) and mailing equipment. Excellent customer service skills with the ability to communicate clearly and professionally. Strong attention to detail and the ability to manage multiple tasks simultaneously. Basic computer skills, including MS Office and print management software. Ability to lift boxes of paper and mail trays (up to 40 lbs). Familiarity with USPS mailing practices and postal regulations preferred. Preferred Qualifications Experience with variable data printing (VDP). Knowledge of job ticketing systems or workflow tools. Background in fast‑paced service or operations environments.
