**JOB SUMMARY:** To provide administrative support to assigned legal staff, including compliance/ethics, secretary, risk, and government/public affairs groups, or projects by facilitating workflow, conducting research, preparing and organizing files, document preparation, processing invoices, printing, copying, scanning, calendaring events and follow-up actions, electronic and paper organization, and other related tasks as needed.
**ESSENTIAL DUTIES AND RESPONSIBILITIES:**
+ **Legal Department Administrative Duties**
+ Expense reporting, processing invoices, processing government agency filings
+ Coordinating the distribution, completion and return of contracts, forms and other documents with internal and external parties
+ Tracking deadlines, proofreading and document compilation and revision
+ Composing and typing routine correspondence
+ Filing, scheduling appointments/travel, politely screening phone calls
+ Handling overnight deliveries, routing incoming mail, document retrieval, updating records
+ Provide support to operating divisions of the company
+ **Risk and Insurance Policy Coordination**
+ Logs and files insurance policies and other documents
+ Supports Risk Management Department with various document and data compilation tasks
+ Assists with claim documents for insurance carrier reporting
+ Conducts sophisticated internet research across a broad range of areas including basic case law and analysis, policy drafting, advertising law, social media, trademarks and copyrights
+ Performs other duties as assigned.
**EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:**
**Education/Certifications/Licenses**
+ Bachelor's degree preferred
**Experience**
+ 1-2 years of work experience with law firm or corporate legal department experience required
+ Prior experience in Real Estate and/or Insurance industry preferred, ideally in Residential Homebuilding
**Knowledge, Skills & Abilities**
+ Strong verbal and written communication skills
+ Able to manage multiple projects in different subject areas at the same time; strong project and time management skills and the ability to multitask
+ Attention to detail and highly organized
+ Exceptional interpersonal skills - ability to build relationships, interact professionally with Senior Management, prioritize internal and external customer service, establish trust, and maintain confidentiality
+ Strong eye for detail and accuracy in all tasks, particularly those that are outward-facing
+ Ability to prioritize and complete work in a timely manner, meeting all required deadlines
+ Problem Solving - identifies and resolves problems in a timely manner; gathers and analyzes information skillfully
+ Proficient in computer applications, including the MSOffice suite and Adobe Acrobat Pro
+ Ability to document processes to update guidelines and procedures
+ Familiarity with insurance claims processing preferred
**Work Requirements**
+ Work 8-hour days with flexibility for overtime when necessary
+ Conduct business in a professional and ethical manner to potential buyers, trade partners, and coworkers to reinforce goodwill and profitability for the company
+ The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation.
+ Ability to stand or sit for extended periods
+ Ability to move about work location
+ Ability to drive/travel as needed
+ Ability to walk up and down stairs
+ Ability to observe details at close range and communicate information so others will understand
+ Ability to transport and move up to 20 lbs and move as needed (for roles in Construction/Customer Service/IT/Land/Marketing/Sales/Studio)
+ Periodically works in outdoor weather conditions (for roles in Construction/Customer Service/Land/Sales)
+ Position is hybrid in Westwood, Los Angeles
**COMPENSATION AND BENEFITS:**
+ **Base Salary:** The expected base pay range for this position is $26.45 - $31.25 per hour depending on experience, paid semi-monthly.
+ **Bonus:** this position is eligible for an annual discretionary bonus
