Job Description
The Legal Administrative Assistant plays a key role in supporting the Legal Department's operations. This position is responsible for overseeing corporate filings, managing contracts and legal documentation, administering legal systems, and assisting with legal correspondence and collection efforts.
Responsibilities
Coordinate and submit all required state filings, including annual reports and business qualifications for the company and its subsidiaries.Handle Uniform Commercial Code (UCC) filings related to new and existing owner agreements, including preparing financing statements, amendments, assignments, and terminations, and monitoring filings across the ownership network.Conduct due diligence for potential owners, including application review, credit checks, and entity verification, and prepare Memorandums of Credit.Serve as a liaison with the Business Development team regarding new prospects.Facilitate onboarding for new owners by preparing internal documentation and setting up profiles in Enterprise.Assist with owner exits and coordinate the wind-down of business units.Maintain the internal contract repository, ensuring each owner’s legal file includes all due diligence and signed agreements.Review and update existing contracts and support the renewal process.Manage contract execution via DocuSign and ensure proper digital filing.Ensure accurate entry and updates of legal and contract data in Enterprise, reflecting changes in agreements and business unit structures.Oversee vendor relationships and tools used by the Legal Department, such as CreditSafe and ContractSafe, and participate in system training.Maintain a library of demand letter templates tailored to various owner scenarios.Collaborate with Owner Success Managers and Collections on legal demands and breach matters.Draft and issue demand letters as needed.Skills and Qualifications Required
Associate’s degree in Legal Studies or Business Administration preferredExperience with contracts and UCC filings is highly desirableFamiliarity with G-Suite is a plusPrior experience with UCC filings is requiredWork Environment
This role offers flexibility with both full-time and part-time options. Full-time employees work Monday through Friday from 8:00 AM to 4:30 PM, with flexibility. Part-time employees work 3 days a week from 8:00 AM to 4:30 PM, with flexibility. The position requires being in the office at least 3 days a week, with the possibility of a hybrid model for full-time employees up to 5 days.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
