Lease Documentation Manager Job ID 231043 Posted 25-Aug-2025 Service line Advisory Segment Role type Full-time Areas of Interest Legal, Transaction Management Location(s) Toronto - Ontario - Canada Key Responsibilities: Leadership & Team Management: Lead, mentor, and develop a team of documentation specialists, fostering a collaborative and high-performing environment. Delegate tasks, set performance goals, and conduct performance reviews. Provide training and guidance on documentation best practices, compliance requirements, and transaction processes. Manage and allocate resources effectively to ensure efficient transaction processing. Documentation & Compliance Oversight: Oversee the management and maintenance of all transaction-related legal documentation, ensuring accuracy, completeness, and compliance with all relevant regulations, policies, and procedures. Review and approve various real estate legal documents, including but not limited to: offers, counteroffers, lease agreements, amendments, addenda, and closing documents. Establish and maintain a robust filing system (both physical and digital) for all transaction lease, license, or amending documents, ensuring easy access and retrieval. Monitor and manage deadlines, contingencies, and critical documentation deliverable dates throughout the transaction process, proactively addressing any potential delays. Oversee due diligence processes, ensuring all required documentation is obtained, verified, and compliant. Oversee the preparation and distribution of closing packages and legal documents. Client & Stakeholder Communication: Serve as the primary point of contact for documentation-related matters for the client, providing regular updates, proactively addressing their needs and concerns, and building strong client relationships. Collaborate closely with transaction managers, brokers, and legal counsel to facilitate efficient communication and ensure seamless transaction documentation flow. Proactively identify and resolve potential issues or roadblocks within the documentation aspect of the transaction process, escalating issues as needed. Ensure effective communication with all parties involved in the transaction, including clients, landlords, brokers, attorneys, title companies, and other vendors. Oversee the preparation and distribution of internal and external reports and documentation as needed. Transaction Management Support & Strategic Initiatives: Collaborate with transaction managers on all aspects of documentation within the transaction process, including: managing of documentation, inclusive of leases, licenses and amending agreements for transactions files. Following up with various parties to ensure timely completion of documentation tasks and the execution of documents. Preparing and submitting required documentation to all relevant parties. Utilize and maintain proficiency in the Microsoft Office suite, transaction management software, and other relevant tools. Partner with the team to improve processes and identify and implement new technologies. Process Improvement & Risk Management: Lead the identification of opportunities to streamline processes, improve efficiency, and mitigate risk. Develop and implement best practices for transaction management documentation. Establish and maintain documentation standards and protocols. Stay abreast of industry trends and changes in real estate law and regulations. Develop and implement training programs for the team. Qualifications: Bachelor's degree in a related field. Minimum of 5 years of experience in commercial real estate, with a strong focus on transaction documentation and legal aspects. Proven leadership and team management experience. In-depth knowledge of commercial real estate leases, licenses, and related legal documentation. Strong understanding of real estate regulations and compliance requirements. Excellent communication, interpersonal, and negotiation skills. Exceptional organizational skills and attention to detail. Proficiency in Microsoft Office Suite and transaction management software. Ability to work independently and manage multiple priorities in a fast-paced environment.
