Job Description
Reporting to the Senior Facilities Manager and working closely with Facilities Coordinators, you’ll assist with the coordination of reactive and proactive maintenance activities while developing your technical knowledge and confidence.
Your responsibilities will include:
Maintenance Operations
Assisting with the triage and coordination of reactive and planned work orders
Supporting contractor allocation and monitoring job progress
Checking completion documentation (photos, certificates, reports)
Assisting with basic quote and variation reviews within delegated limits
Updating and maintaining accurate data in the Work Order Management System (WOMS)
Escalating delays, access issues, scope or cost concerns to senior team members
Contractor Support
Supporting day-to-day communication with contractorsAssisting with contractor onboarding, offboarding and compliance checksEscalating WHS, performance or compliance issues as requiredSupporting preparation for contractor performance reviewsLearning & Continuous Improvement
Following established processes, playbooks and operating procedures
Participating in training and development opportunities
Identifying process improvements and supporting team coverage during peak periods
About You
This role is ideal for someone early in their facilities or property career who is eager to learn and grow.
You’ll bring:
Entry-level experience or exposure to facilities, property, administration, customer service or contractor coordination
A strong interest in facilities management and service delivery
Good organizational skills with the ability to manage priorities
Clear written and verbal communication skills
A collaborative, team-focused approach with the ability to work independently when required
Strong attention to detail and basic computer literacy
Experience with Microsoft Teams, Outlook, Excel and SharePoint (desirable)
Willingness to learn systems, processes and industry requirements
