**The Opportunity:**
**STAFFING:**
+ Assist in hiring, training, development of, and supporting all staff to meet all their agreed contract and individual goals (no direct reports)
+ Support New Hires process and implement all Day 1 activities for new hires
+ Advise on and recommend training programs and workshops for staff related to their accounting, administrative, customer service and hospitality duties
**OPERATIONS:**
+ Review service desk calls and follow up as necessary to insure timely completion of scheduled work orders in accordance with established standards. Actively search and encourage staff to identify areas for improvement and make recommendations where appropriate.
+ Assist Facilities Manager in contract management administration, including developing specifications, conducting building tours, evaluating proposals, and selecting contractors.
+ Monitor service contracts and maintain contract summary report.
+ Maintain both hard and soft copies of building standards, specifications, and maintenance schedules for all service contracts: janitorial, carpet cleaning, window cleaning, stonework, metal work, woodwork, furniture cleaning, lamp replacement, air diffuser cleaning, landscape maintenance, tree trimming, and pest control.
+ Conduct comprehensive building inspections of all common areas weekly, noting and addressing deficiencies. Place service requests for and/or coordinate correction of deficiencies noted in accordance with established standards.
+ Assist Facilities Manager in preparation of the budget, ensuring it is compatible with management goals.
+ Review and raise POs, process invoices, and capture monthly reporting in line with Financial SLAs, maintaining an UpToDate PO Accrual Log
+ Ensure all invoices are properly coded and paid on time and all purchases are in full compliance with Adobe and/or Cushman & Wakefield policies and procedures
+ Ensure that safety codes are observed, and sufficient measures taken at all times to ensure an injury-free workplace, and that all applicable codes and laws are complied with.
+ Support and provide the leadership necessary to achieve CBRE RISE values. Establish, exemplify, and maintain a standard of professionalism that projects the highest values to the client, vendors, and fellow employees at all times.
+ Join one or two professional organisations directly related to your area of expertise; attend classes and workshops related to your position to improve your knowledge and skill level.
+ Complete regular site inspections to ensure performance and presentation to highest level
+ Manage preventative and reactive works and all repairs adhering to budgets and seeking all appropriate approvals as necessary
+ Liaise with building management for periodic inspection of building facilities such as elevator, power, lighting, fire installations, etc.
+ Become familiar with the work order request system. Input service calls and assist the Facilities Manager in following up and/or managing vendors as necessary to ensure timely completion of scheduled work orders in accordance with established standards and ensure timely completion of Work Request Tickets to meet all SLA and KPI targets.
+ Effectively manage Vendors and Vendor Service Agreements ensuring that all certificates of insurance and compliance are filed and current for all work performed on site
+ Build strong client relationships and create a positive work environment for employees and stakeholders
+ Assist onsite Client events as requested (room set ups, supplier access, catering, etc.)
+ Liaise with Building Management for all building related services, requests, impacts, or support
+ Monitor consumables stock and reorder as required
+ Manage the Food & Beverage services. Ensure equipment is clean, in good working order and oversee necessary break-fix; monitor stocks of snacks/consumables and re-ordering/re-stocking as required; ensure allocated budget is fully used, but not exceeded.
+ Assist with Asset Management tasks and Valuable Assets and Inventories, when applicable
+ Administration duties and support to FM projects
**PROJECTS:**
+ Have sufficient knowledge of construction to supervise and coordinate construction work and to ensure that alterations are performed in accordance with client standards and code requirements.
+ Plan, coordinate, and direct special projects as required, i.e., office buildouts, refurbishment, large group moves, activity set-ups, etc.
+ Develop budget, obtain approvals, and maintain schedule and budget for individual projects.
+ Maintain constant and positive communications with key Client employees during all phases of projects.
+ Maintain a project summary report.

**Working Conditions**
+ Working hours: Weekly rotating shifts of 08:30 - 17:30 and 09:00 - 18:00
+ Average overtime: Typically less than 20 hours per month
+ Team & Workplace environment: 5-person team supporting 1.75 office floors fitted with 490 workstations that are 40% - 60% occupied
