Inventory Management Coordinator

SECTION I

 

BASIC FUNCTION: 

 

As part of supply chain function, the Inventory Management Coordinator supports the Supply Chain department, including Surgery, Cath Lab and Interventional Radiology, by coordinating Inventory and Purchasing databases. They will carry out routine database monitoring, create regular database reports to support supply chain management efforts.

EDUCATION AND EXPERIENCE REQUIREMENTS:

 

Minimum of an associate’s degree is required.   Undergraduate degree in business or related field is preferred. Previous experience in healthcare and/or inventory/procurement databases is preferred.

 

Core Competencies

Ability to communicate clearly and effectively with internal and external customers. Ability to navigate and manage multiple information systems including core materials management information systems, electronic data exchange systems, and other databases. Working knowledge of supply chain management and working with numerous supply chain management systems, including electronic health records, point of use inventory systems, and materials management information systems Strong project management skills, including ability to develop project parameters, goals, timelines, and subsequent presentations High attention to detail in order to create accurate and engaging reports Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Internet Explorer). Ability to interact respectfully with other employees, professional staff and/or external contacts to offer ideas, identify issues, obtain information, or deliver services. Provide a high level of customer service to patients, visitors, staff, and external customers in a professional, service-oriented, respectful manner using active listening and problem solving.

RESPONSIBILITIES OF THE POSITION:

Cross-checks data in the database with vendor contracts, invoice pricing, actual pricing to ensure accuracy Develops and issues regular cost analysis spreadsheets, summaries, and reports to contract managers, group purchasing organization partners, clinical staff, and any other stakeholders Develops and implements strategies to integrate the e-procurement program with other organization information technology systems, such as point of use inventory systems, patient electronic health records, enterprise resource planning systems, the materials management information system, and other systems as necessary Analyzes information stored in the database to develop cost savings strategies; presents strategy plans to key stakeholders Supports cost savings initiatives as a team member and follows up on completed initiatives to ensure savings have been realized Performs routine maintenance on assigned databases, including monthly reconciliation for accuracy and pricing updates. Monitors and reports inventory value, variances, and remediation. Identifies and implements quality processes for ongoing inventory control including bin locations and par levels, using par optimization tools and reporting. Coordinates all physical inventories and cycle counts with staff and supply location. Coordinate the management of contracts, making sure contracts are properly executed, filed, with due date reminders in place.
