Essential functions (job duties):
Position Purpose
Perform, document, and report physical inventories of movable personal property owned or leased by the University and government entities, ensuring full compliance with applicable state and federal regulations. This position reports to the Director, Cost Accounting.
Essential Functions
Conduct, document, and report physical inventories of University and government-owned or leased assets. Maintain accurate records of all leased equipment. Coordinate the distribution of asset inventory transmittal forms across the University to ensure proper tagging and registration of newly acquired furnishings and equipment.
Receive and process capital assets into the University’s Fixed Asset Inventory Management System (FMS). Maintain and update inventory records by adding, deleting, and transferring asset data.
Oversee operations of the surplus property warehouse, ensuring proper storage of surplus equipment and furnishings. Maintain accurate records of sold and stolen items and supervise the receipt and systematic organization of incoming surplus to support efficient warehouse management.
Utilize computers and software applications including Microsoft Office and Adobe to support departmental functions. Respond to routine inquiries related to department operations and direct complex questions to appropriate staff. Carry out general administrative tasks such as drafting correspondence, maintaining organized filing systems, managing supply orders, and handling incoming and outgoing mail.
Compile data and maintain statistics on department operational activities. Prepare special activity reports, i.e. monthly capitalization report for internal accounting purpose and government regulations.
Performs other related duties as assigned.
Additional Comments
This role is responsible for conducting physical inventories of all University and government-owned or leased property. Key duties include tagging movable assets valued at $5,000 or more, maintaining accurate inventory records using the Fixed Asset Inventory Management System, and generating statistical reports—such as capitalization summaries—for internal accounting and external regulatory compliance.
Qualifications:
MINIMUM QUALIFICATIONS
Education
High school graduate or an equivalent combination of education and/or experience.
Experience
Entry level (less than a year of job-related experience).
Demonstrated organizational abilities with strong attention to detail.
Proficient in computer usage, including accurate typing and data entry.
Effective interpersonal and communication skills.
Familiarity with general administrative and office procedures.
Working knowledge of University policies and operational guidelines.
Preferred experience in inventory management and control.
Knowledge, Skills, And Abilities
Knowledge of the government contracting market and the tools used by business to sell to this market.
Strong planning and organizational skills.
Strong written and verbal communication skills.
Ability to manage multiple and complex projects.
Ability to provide extensive customer service with courtesy and concerned attention to individual needs.
