Job Title: Inventory and Accounting Specialist
Job Description
We are seeking a dedicated Inventory and Accounting Specialist to manage inventory records, process accounts payable and receivable, and ensure compliance with general ledger and month-end close procedures. This role involves managing inventory-related journal entries, participating in physical inventory counts, processing vendor invoices, and supporting sales and use tax filings.
Responsibilities
+ Maintain accurate inventory records and reconcile inventory subledger to the general ledger.
+ Record inventory receipts, adjustments, and transfers, and post inventory-related journal entries including cost of goods sold (COGS).
+ Participate in physical inventory counts and conduct variance analysis.
+ Process and record vendor invoices in the ERP system.
+ Perform vendor statement reconciliations and resolve discrepancies.
+ Prepare and process vendor payments, and maintain vendor master data and documentation.
+ Prepare and issue customer invoices, apply and reconcile cash receipts, and monitor accounts receivable aging.
+ Resolve billing discrepancies.
+ Prepare and post journal entries including accruals, prepaids, depreciation, and inventory adjustments.
+ Perform balance sheet account reconciliations.
+ Assist with month-end and year-end close processes.
+ Maintain audit-ready accounting documentation.
+ Assist with multi-state sales and use tax filings, and maintain exemption certificates and supporting documentation.
+ Prepare management reports and supporting schedules.
+ Assist with audits and external accountant requests.
+ Support accounting process improvements and special projects.
Essential Skills
+ 3–5 years of bookkeeping or general ledger accounting experience.
+ Hands-on experience with ERP system QuickBooks Enterprise (QBE) required.
+ Strong proficiency in Excel, Word, and PowerPoint.
+ Experience with inventory accounting, accounts receivable, accounts payable, and month-end close.
+ Strong attention to detail and ability to meet deadlines.
Additional Skills & Qualifications
+ Experience with SAP or similar ERP systems.
+ Experience in inventory-based or distribution environments.
+ Bachelor’s degree in Accounting or Finance.
Work Environment
The role offers a hybrid schedule with four days in the office and one day remote, with potential for a three-day office and two-day remote schedule in the future. This position is within a rapidly growing company, with revenue growth from $14 million in 2024 to $22 million in 2025, and projecting more growth in 2026.

This is a Contract to Hire position based out of Fairfield, NJ.
Pay and Benefits
The pay range for this position is $29.80 - $33.65/hr.
