Position Overview
We are seeking a detail-oriented and proactive Internal Operations Specialist to support the Director of Internal Operations in managing daily workflows, coordinating vehicle relocation services, and driving operational efficiency. This role is ideal for someone with strong communication skills, a customer-first mindset, and the ability to thrive in a fast-paced logistics environment.
Key Responsibilities
Execute and manage customer vehicle relocation orders, ensuring accuracy and timeliness.Input and link orders in Microsoft Dynamics 365, maintaining up-to-date records.Communicate professionally with internal teams, independent contractors, and pickup/delivery contacts via phone and email.Perform vehicle inspections and occasionally valet vehicles into and out of storage facilities.Coordinate vehicle movements between drivers, customers, and field offices.Support daily team operations and contribute to process improvements.Ensure requests are completed in line with client-specific requirements.Assist management with additional operational tasks as needed.Monitor team dashboards and distribute workloads to maintain service levels.Track and report team metrics to support continuous improvement.Manage team schedules, approve leave requests, and conduct performance reviews.Identify and implement streamlined solutions to enhance operational workflows.Maintain professional relationships with clients, vendors, and internal stakeholders.Respond to emails within 4 hours and ensure all assignments are completed accurately.Uphold company policies, procedures, and compliance standards.
Required Skills & Qualifications
Minimum 6 months of customer service and data entry experience.Strong proficiency in Microsoft Office, especially Excel and CRM platforms.Ability to type at least 35 WPM.Experience in logistics, dispatching, or dealership operations preferred.Excellent multitasking, time management, and communication skills.Must own and operate compatible equipment:Windows 10 or higherWebcam, speakers, printer, and scannerMinimum 8 GB RAM and 250 GB hard drive(Note: iPads, Chromebooks, and tablets are not supported.Pay and Benefits
The pay range for this position is $17.00 - $18.00/hr.
