Job SummaryThe HVAC Specialist position will exercise business acumen and independent judgement to complete all critical refrigeration reactive, planned, and capital projects work orders from inception to completion and ensure the work orders are completed within scope, within budget, and on time. This includes and is not limited to providing real-time support for on-site technicians when necessary. The progress of the work orders should be communicated directly or indirectly through CMMS platform to the client or other stake holders.
Essential Duties & Responsibilities Defines, implements, assesses, and acts upon metrics to manage assigned projects related to HVAC work orders from initiation to completion. Communicates to both internal/external stakeholders, such as client contacts, Contractors, and/or Operations Department on project statuses. Develops and monitors project timelines, budgets, identifies areas of concern and risks. Creates, presents, and enacts possible solutionsEnsures service partners performance concerns/issues are resolved in a timely manner and meets or exceeds client’s expectations. This includes being available to field technicians by phone or email to mitigate issuesResolves client high priority escalations immediately. Proactively involves any additional parties both internal or external as needed to eliminate further delay in work order resolutionPrepares proposal documents (inclusive of exhibits for projects, cost plan, contract terms with general contractors, timeline, etc.) for bids and administers contract requirementsPrepares weekly reports around current asset health & ongoing projects for weekly client review. Completes internal reporting of service and operational metricsParticipates and fosters a work environment that is based on openness, trust, communication and teamworkOther duties as assigned by cognizant supervision to include after hours, weekend, and holiday supportTravel to locations to assess challenging sites via car, train, or airplane to solve the issues with any/or all of the following: client, service partner, manufacturer, engineer, etc. Qualifications BA/BS from an accredited college or university or equivalent in education and work experienceMinimum of 3 years’ experience managing HVAC projects in facilities maintenance, property management or a business-to-business customer service role (customer facing or over the phone)EPA Certified preferred, but not requiredBilingual in Spanish/English (Written and Spoken), preferred but not requiredMicrosoft Excel & Word. Constantly operates a computer, phone, copy machine and printer Work Environment Must have flexibility and adaptability in work schedule in order to serve a broad base of clients in multiple time zones with locations operations seven days a week. Typical work schedule would be Monday - Friday 8:00 AM - 5:00 PM or 9:00 AM - 6:00 PM.
