Job Title: Operations Coordinator

Job Description

The Operations Coordinator will support the administration and execution of mobility programs, including domestic and international relocations, transfers, and remote work arrangements. This role involves advising managers on mobility policies, coordinating relocation packages, partnering with internal and external stakeholders, and maintaining internal documentation.

ResponsibilitiesSupport the administration and execution of mobility programs such as domestic/international relocations, transfers, and remote work arrangements.Advise managers on mobility policies and ensure completion of necessary documentation and approvals.Coordinate relocation packages and assist employees with related queries and escalated issues.Partner with internal stakeholders and external vendors on immigration and relocation matters, including processing employment authorizations and visa applications.Collaborate with Talent Acquisition and Compensation teams to ensure alignment on new hire immigration needs, relocation cost estimates, and onboarding processes.Liaise regularly with tax and relocation vendors; track action items and meeting deliverables.Maintain and update internal documentation and content, such as intranet pages, contracts, and contact lists.Prepare monthly headcount and termination reports; align immigration status reporting using Excel tools such as VLOOKUP.Assist with invoice reconciliation and administrative coordination of relocation event cards.Support internal branding efforts by helping develop recruitment marketing assets in print, digital, graphic, and textual formats.Essential SkillsPrior experience in Human Resources or administrative support; experience in global mobility or immigration is highly preferred.Excellent verbal and written communication skills, with the ability to present and influence across stakeholder groups.Strong organizational skills and the ability to manage multiple priorities independently.Proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel, specifically VLOOKUP.Collaborative, flexible, and proactive mindset with high attention to detail.Additional Skills & QualificationsBackground in life sciences or biotech is a plus but not required.Work Environment

This position offers a remote work environment with 1-2 days a month required in the office in San Diego.

Pay and Benefits

The pay range for this position is $27.00 - $33.75/hr.
