Job Description

Please note this is a part time role, working 15 hours per week. Working 3 hours per day, Monday to Friday between the hours of 09:00 and 17:00. 

The purpose of this job is to provide Human Resources & payroll administrative support and coordination through first class administration and HR system support to the business.  Support includes looking after key paperwork and processes relevant from the start of the employee life cycle through to an employee leaving the business. 

Ensuring accurate records are kept and maintained and that the General Data Protection Regulations Act is followed when handling sensitive employee matters.Be responsible for the accurate creation of offer letters, contract and change letters alongside submission of payroll data in line with payroll deadlines. To support & complete the HR administration processes for new starters, to include: employee correspondence, pre-employment checks, and right to work,  qualification and medical checks and references.  Ensuring that all new starter paperwork is completed in line with departmental deadlines.Ensuring all right to work documents are verified and uploaded to HR system, providing advice to managers and employees as necessary. Managing new starter processes, on boarding procedures and updating HR trackersSet up employee files in the correct entity, ensuring that all paperwork is filed in the correct employee file prior to start date. Set up IT provisions for new starters (create PUID’s) and ensure equipment is organised for Senior new starters. Ensure new starter benefits are set up and advised to payroll. Support the administration for all employees with changes to their roles, TOPE transfers, redundancies, acquisitions etc. Support the administration processes for maternity, paternity, adoption, shared parental leave and parental leave. To support the administration process for leavers, ensuring that resignation letters are received where relevant & saved to file and resignations are acknowledged prior to employee leave dates, and any outstanding annual leave is calculated in accordance with the employee’s terms and conditions. To support the MD with the annual PAD/Appraisal process, sending out documents to managers / employees and monitoring returns.To complete absence management reporting processes, monitoring absence levels, identifying concerning absence patterns and notifying line managers when absence triggers are met.Carry out general administration tasks for the HR Department, for example; managing HR inbox, sorting post, telephone answering, filing, scanning, photocopying and taking responsibility for  post being sent out on a daily basis. 

QualificationsSecondary level qualifications are desirable, alongside good leaving certificate scores (or equivalent). Excellent knowledge of MS Office applications including word / excel / outlook / PowerPoint skills.Experience working in a similar position, working in a busy HR department – HR, Recruitment, Shared services or similar department / role is desirable.Being able to maintain confidentiality and exercise total discretion is essential in this position.  The ability to field difficult questions skilfully is a key requirement.Basic knowledge of HR and Payroll practice & process. Data protection knowledge – basic level. Confident in interacting with managers and employees at all levels. Ability to take meeting minutes to record accurately meeting content.Able to prioritise work loads.
