Full Charge Bookkeeper
Job Title: Full Charge BookkeeperJob Description We are seeking an experienced Full Charge Bookkeeper to manage comprehensive bookkeeping duties using QuickBooks. This role involves overseeing accounts payable, accounts receivable, payroll coordination, and general ledger maintenance, ensuring the financial accuracy and integrity of facility records. Responsibilities + Perform full-charge bookkeeping duties using QuickBooks, including accounts payable, accounts receivable, payroll coordination, and general ledger maintenance. + Maintain accurate and complete financial records for the assigned facility. + Prepare and post journal entries, accruals, and adjustments. + Manage and reconcile the chart of accounts in alignment with company standards. + Track Work in Progress (WIP) for active jobs and projects, ensuring costs and revenues are recorded accurately and timely. + Maintain job cost records, including labor, materials, subcontractors, and overhead allocations. + Prepare WIP schedules and support percentage-of-completion or other approved revenue recognition methods. + Partner with operations and project teams to resolve discrepancies between job progress, billing, and costs. + Provide visibility into project financial performance, margins, and cost variances. + Collaborate with office managers, plant leadership, and operations teams across all facilities to ensure consistent accounting practices. + Support intercompany transactions and allocations. + Serve as a resource for bookkeeping questions, documentation standards, and QuickBooks best practices across locations. + Assist with training facility staff on financial procedures, job cost coding, and documentation requirements. + Process vendor invoices, match them to purchase orders and receiving documentation, and ensure timely payment. + Generate customer invoices, apply payments, and support collections as needed. + Maintain organized vendor and customer files, including contracts, W-9s, and credit terms. + Resolve billing and payment discrepancies in coordination with operations and sales teams. + Coordinate payroll processing and review timesheets for accuracy, job coding, and labor classifications. + Ensure labor costs are properly allocated to jobs for accurate WIP and job cost reporting. + Support compliance with payroll regulations and internal controls. + Reconcile bank accounts, credit cards, and loan accounts monthly in QuickBooks. + Prepare monthly financial statements and internal management reports. + Assist with budgeting, forecasting, and job-level financial analysis. + Support month-end and year-end close, audits, and external accountant requests. + Ensure compliance with company accounting policies and internal controls. + Maintain audit-ready financial records and organized supporting documentation. + Monitor expenses and flag unusual transactions or variances. + Recommend and support improvements to accounting workflows and reporting processes. Job Type & Location This is a Contract to Hire position based out of Jupiter, FL. Pay and Benefits The pay range for this position is $36.00 - $45.00/hr.
