Job Description
The Front Desk Administrative Assistant plays a crucial role in managing the reception area to ensure effective telephone and mail communications both internally and externally, thereby maintaining a professional environment and culture. This position serves visitors by greeting, welcoming, directing, and announcing them appropriately, ensuring a positive first impression. The role also involves answering, screening, and forwarding incoming phone calls while providing basic information when needed.
ResponsibilitiesServe visitors by greeting, welcoming, directing, and announcing them appropriately.Answer, screen, and forward incoming phone calls while providing basic information when needed.Receive and sort daily mail, shipments, and courier deliveries.Maintain security by following procedures and controlling access.Perform clerical duties such as filing, photocopying, collating, and scanning.Coordinate overall administrative activities for the office.Manage the Document Control Program.Maintain the program log for vendors and guests.Oversee office equipment maintenance, office layout, arrangement, and housekeeping of office facilities.Provide administrative assistance to the Human Resource, Warehouse, and other related departments.Essential SkillsStrong clerical and administrative skills.Excellent customer service orientation.Proficiency in Microsoft Office products, including Excel and Outlook.Bilingual skills, particularly in Spanish, are a huge plus.Great people skills with the ability to communicate professionally via phone and email.Additional Skills & QualificationsExperience with Teams is a nice to have.Must have a good attitude, be a self-starter, and a problem solver.Assertive yet friendly personality that works well with others in a team environment.Work Environment
This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The working hours are from 8:00 AM to 4:30 PM, Monday through Friday. This is a Contract to Hire position based out of Eugene, Oregon.
Pay and Benefits
The pay range for this position is $20.00 - $24.00/hr.
