Fleet Supervisor (49806)
Position Summary

The Fleet Supervisor is responsible for the day-to-day oversight and coordination of the

organization’s vehicle fleet. This role ensures vehicles are safe, compliant, cost-effective, and available to support operational needs. The Fleet Supervisor serves as a key operational lead, working closely with drivers, vendors, safety teams, and management to maintain fleet performance, control costs, and mitigate risk.

Key Responsibilities Supervise daily fleet operations, ensuring vehicles are properly assigned, maintained, and available for business use. Oversee vehicle maintenance and repair activities, including scheduling preventive

maintenance, monitoring repairs, and ensuring timely resolution of mechanical issues.

Monitor vehicle compliance with company policies, safety standards, and regulatory requirements (e.g., registrations, inspections, emissions, and licensing). Review and manage driver records, including MVRs, HRIS, training completion, and adherence to driver safety policies. Support accident and incident management, including reporting, coordination with insurance providers, and follow-up corrective actions. Manage fleet documentation, including vehicle files, maintenance records, fuel usage, and inspection reports. Administer and manage all company fuel/gas cards for fleet vehicles, Issue, cancel, and monitor fuel cards to ensure proper assignment and usage. Coordinate with vendors and service providers (maintenance shops, fuel card providers, telematics vendors, leasing companies) to ensure service levels and cost controls are met. Monitor fleet costs and utilization, identify trends, and recommend opportunities for cost savings and efficiency improvements. Assist with vehicle procurement, replacement planning, and decommissioning in alignment with company guidelines. Support implementation and ongoing management of fleet technologies such as telematics, GPS, and fuel management systems. Respond to driver inquiries and issues related to vehicles, policies, and procedures in a timely and professional manner. Collaborate with safety, risk management, and operations teams to promote safe driving behaviors and reduce fleet-related risk. Prepare routine reports on fleet performance, compliance, incidents, and costs for management review. Maintain the company’s internal vehicle database to ensure accuracy and completeness Other duties as assigned.   Supervisory Responsibilities Provide guidance and oversight to drivers or fleet coordinators as assigned. Support training and coaching related to safe driving practices and proper vehicle use. Enforce fleet policies consistently and escalate issues as appropriate.

 

Qualifications Associate or bachelor’s degree in business, Logistics, Transportation, or a related field preferred; equivalent relevant work experience will also be considered 2-3 years of experience in fleet operations, transportation, facilities, or a related operational role. Prior supervisory or lead experience strongly preferred. Working knowledge of vehicle maintenance practices, fleet safety programs, and regulatory requirements. Experience with fleet management systems, telematics, or fuel card programs preferred. Strong organizational skills with the ability to manage multiple priorities. Excellent communication and interpersonal skills. Proficiency in Microsoft Office (Excel, Word, Outlook); experience with fleet software is a plus.
