**The College of Built Environments has an outstanding opportunity for a Fiscal Specialist 1 (Shared Services Fiscal & HR Coordinator) to join their team.**
The Fiscal Specialist 1 (Shared Services Fiscal & HR Coordinator) performs complex financial, payroll, and human resources transaction processing across multiple academic units within the College of Built Environments (CBE). This role provides critical Workday data entry and documentation for a wide range of financial and HR business processes, ensuring transactions are accurate, timely, and compliant with University policies, state regulations, and audit requirements. This position strengthens the College’s internal controls by reinstating separation of duties, freeing senior analysts for oversight and process improvement, and supporting best practices in accounting and payroll. The incumbent works in a fast-paced shared services environment and provides excellent customer service to faculty, staff, labs, centers, and programs.
The Fiscal Specialist 1 (Shared Services Fiscal & HR Coordinator) operates under the general supervision of the HR Department Manager and collaborates closely with the CBE Fiscal Analyst and the Assistant Dean of Finance & Administration on operational execution and long-range planning.
**DUTIES AND RESPONSIBILITIES** **Workday Transaction Processing & Fiscal Operations (50%)**
+ Perform high-volume Workday data entry and documentation for: expense reports, requisitions, ProCard verification, miscellaneous payments, journal entries, internal service deliveries, contracts, and customer invoices.
+ Process hires and separations, compensation changes, costing allocation changes, payroll accounting adjustments, and time/absence corrections.
+ Gather, review, and organize all supporting documentation for these transactions, ensuring audit-level accuracy and compliance.
+ Utilize UW Connect to submit, track, and resolve financial and HR service requests. **HR/Payroll Processing and Support (25%)**
+ Process I-9 verifications, visa documentation, and staffing changes in Workday HCM.
+ Run payroll accuracy reports, monitor time and absence tracking, and initiate retroactive corrections.
+ Ensure day-to-day transaction processing is handled by a specialist who understands payroll as both a financial and HR function. **Fiscal Review, Reporting, and Internal Controls (15%)**
+ Monitor budgets and grant expenditures, support reconciliations, and prepare financial reports.
+ Strengthen internal controls by maintaining clear documentation and separation of duties.
+ Support best practices in accounting by ensuring transactions are accurate, timely, and properly documented. **Process Improvement, Training, and Administrative Support (10%)**
+ Identify workflow inefficiencies and propose solutions that optimize workload balance and efficiency within CBE Shared Services.
+ Contribute to onboarding, training, and procedural documentation for new staff and faculty.
+ Maintain digital records, respond to ticket requests and inquiries, and support departmental communications. **MINIMUM REQUIREMENTS**
+ Bachelor’s degree in a related field or equivalent experience.
+ Two years of experience at the Fiscal Specialist 1 level or equivalent combination of education and experience. **ADDITIONAL REQUIREMENTS**
+ Demonstrated ability to accurately process a high volume of complex financial and HR transactions.
+ Proficiency in Microsoft Excel, Word, and Outlook.
+ Strong attention to detail with the ability to follow complex policies and procedures.
+ Excellent written and verbal communication skills with a customer-service mindset.
+ Proven ability to thrive in a team-based, high-volume environment while maintaining professionalism and confidentiality.
+ Commitment to customer service excellence, team collaboration, and continuous professional development.
+ Strong database management and word processing skills; experience with MS Word, Excel, PowerPoint, and SharePoint.
+ Demonstrated ability to work effectively in a fast-paced, high-volume environment, with excellent grammar, proofreading, and organizational skills.

+ Hybrid work may be available; business operations dictate hybrid eligibility. **DESIRED QUALIFICATIONS**
+ Experience with Workday Finance and HCM systems at the University of Washington.
+ Familiarity with UW financial systems such as Ariba, MyFD, and grant budget management tools.
+ Ability to handle sensitive and confidential information with discretion.
+ Demonstrated ability to contribute to process improvement initiatives and shared services optimization.
