Fellowship Program Coordinator II – Emergency Medicine

Job Description:

The University of Florida, College of Medicine, Department of Emergency Medicine (DEM), seeks a motivated and detail-oriented Fellowship Coordinator to join our education team. This position supports the department’s subspecialty fellowship programs and plays a critical role in maintaining program compliance, supporting fellows and faculty, and managing recruitment, onboarding, and graduation efforts. Reporting to the Assistant Director of Academic Health Care Administration, you will play a vital role in the planning and execution of the department’s educational mission across multiple subspecialty fellowship programs. Working closely with the Vice Chair of Education, Fellowship Program Directors, and core faculty, you will oversee all administrative activities associated with both ACGME and non-ACGME fellowship programs.

Primary Responsibilities

Fellowship Administration

Serve as Fellowship Coordinator for all ACGME and Non-ACGME Emergency Medicine fellowship programs. Oversee all administrative activities including scheduling, evaluations, documentation, and accreditation compliance. Maintain fellow requirements in New Innovations, including duty hours, milestones, and evaluations. Support Program Directors in preparation for Program Evaluation Committee (PEC) and Clinical Competency Committee (CCC) meetings. Track and manage procedure logs, scholarly work, and graduation readiness for all fellows. Coordinate orientation, fellow lectures, monthly division meetings, and educational documentation (e.g., 360 evals, journal clubs, Sim sessions). Manage match enrollment, GME Track/FREIDA updates, ACGME surveys, and ADS/PLA submissions.

Fellowship Human Resources Support

Oversee fellowship interview and hiring process, including NRMP match certification and onboarding. Coordinate UFID setup, badges, lab coats, and scrubs for new fellows. Maintain accurate recruitment records and communicate with incoming fellows regarding hiring documents and deadlines. Ensure all fellows are credentialed before start dates and complete all required trainings. Maintain the fellowship website and brochures with up-to-date information and photos.

Compliance and Program Review

Collaborate with Program Directors to ensure ongoing compliance with ACGME requirements. Monitor technical and regulatory accreditation standards and prepare for internal/external program reviews. Keep program documentation and databases consistently up-to-date for audits and site visits.

General Support

Facilitate CME credit documentation, coordinate external rotations, and support research activities in partnership with the department’s research team. Arrange interviews, international partnerships, electives, and graduation logistics. Support additional education-related tasks as needed.

Expected Salary:

The annual salary ranges between $60,000 - $65,000 and is commensurate with education and experience.

Required Qualifications:

Bachelor’s degree and three years of relevant experience; or an equivalent combination of education and relevant experience.

Preferred Prefer 2 – 4 years Fellowship experience with ACGME/Non-ACGME accredited Programs. Ability to communicate effectively with Department Chair, Fellowship Program leadership, faculty and staff. Ability to effectively prioritize and ensure timely completion of work assignments.
