Federal Subcontract Administrator

Description

As a Federal Subcontract Administrator, you will support a large-scale federal healthcare program by managing the intake, coordination, and execution of professional services subcontracts. This role is highly operational and collaborative, focused on translating program needs into accurate contract documentation, tracking work through established processes, and driving contracts to completion across multiple stakeholders.

You will work closely with internal program, delivery, and finance teams, as well as external suppliers, to ensure subcontract requests are properly scoped, documented, and progressed in alignment with federal requirements and internal processes.

Key Responsibilities

Manage internal requests related to subcontracting needs, including coordinating inputs for statements of work, labor estimates, and supporting documentation

Support subcontract lifecycle activities including work-at-risk requests, new subcontracts, amendments, and task-based engagements tied to federal client programs

Coordinate subcontract activities across internal teams (program, delivery, finance, legal, procurement) to ensure timely progression and resolution of issues

Track multiple subcontract requests concurrently, often at different stages, while managing shifting timelines related to funding and program needs

Serve as a point of contact for subcontractors, including facilitating regular status discussions and follow-ups to ensure alignment on scope, timelines, and expectations

Review subcontract documentation for accuracy, completeness, and alignment with internal standards and federal requirements

Monitor subcontract progress against contractual commitments and escalate risks, delays, or issues as appropriate

Maintain clear documentation, provide status updates, and follow up consistently to drive work to completion

Apply established processes while remaining adaptable to changing priorities and program demands

Basic Qualifications

2+ years of experience in contracts, procurement, subcontract administration, or professional services support

Experience supporting labor-based or professional services engagements

Strong organizational skills with the ability to manage repetitive processes across multiple workstreams

Clear written and verbal communication skills, with confidence engaging internal and external stakeholders

Bachelor’s degree or equivalent relevant experience

Preferred Qualifications

Experience supporting federal contracts or public sector programs (preferred, not required)

Healthcare, IT services, or large enterprise program exposure

Comfort working in fast-paced, process-driven environments with frequent follow-ups and dependencies
